9.2 Assign Self-Service Access to Students in Batch

Purpose: Use this document as a reference on how to batch-assign self-service access to students their financial aid consumer information in Student Center in ctcLink.

Audience: Financial Aid Staff responsible for delivering Consumer Information.

You must have at least one of these local college managed security roles:

  • ZD FA Award Self Service
  • ZZ FA Award Self Service

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Assign Self-Service Access to Students in Batch

Navigation:  NavBar > Navigator > Financial Aid > Awards > Self-Service Awarding > Assign Self Service Access

  1. The Assign Self-Service Access Search Criteria page displays.
  2. Enter the desired Run Control ID - You can Enter a New Value if running for the first time, or you can Find an Existing Value if you have run this process before.
  3. Select the Add or Search button.

  1. The Self-Service Security page displays.
  2. In the Parameters group box, in the *Award Access row, select Allow Access from the drop-down list.
  3. Enter your Institution.
  4. Enter your Aid Year - if you have set up User Defaults, these fields should already be populated.
  5. Ensure the All IDs radio button is selected.
  6. Set the *Inquiry Access row to Yes in the drop-down list.
  7. Set the EA Access row to No in the drop-down list.

Disclaimer -- ALWAYS set the EA Access row to No.  If you do not set EA Access to No, you are granting access to students to upload their own awards through the External Award functionality.

  1. Select the Run button, or select Save if part of a JobSet.

  1. The Process Scheduler Request page displays.
  2. Ensure the FA Self-Service Access check box is selected.
  3. Select the OK button.

  1. The Self-service Security page displays.
  2. Note your Process Instance number and use it to track your job status on the Process List tab.
  3. Select the Process Monitor link.

  2. At the Process List tab, ensure your job status runs to Success and your Distribution Status runs to Posted.
