Student AR Health Report (Insights Dashboard)
Purpose: This document is to help with understanding the Campus Solutions Insights Dashboards.
SBCTC strongly recommends completing the ctcLink Insights Dashboards training course in Canvas before using the dashboard. For information on registering for the course, please visit the ctcLink Training & Learning Opportunities Registration page.
You must have at least one of these local college managed security roles:
- ZD SF Insights View Privilege
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Overview
Insights is a reporting and analytics tool that displays data using charts, tables, and graphs. It helps you quickly review and analyze student financial data.
This dashboard reports on:
- Past due student balances
- Active and inactive collections
- Collection letters and timing
The Dashboard data is controlled by filters at the top.
Required Filter
- Business Unit (must be selected)
Optional Filters
- Term
- Account Type
- In Collections
- Number of Days Past Due
Dashboard Tips
- Navigate to the homepage you wish to customize.
- Click the Homepage Actions icon (three dots) in the top-right corner and select Personalize Homepage.
- Click the Add Tile button.
- Find your tile by either:
- Searching: Enter the name or partial name of the tile in the search box (Ex. enter AR Health).
- Browsing: Navigate through the folders (e.g., PeopleSoft Applications) to find the desired content.
- Select CTC SF STUDENT AR HEALTH Rpt.
- Select the tile to add it to your homepage. It will typically appear at the end of your existing tiles.
- (Optional) Reposition the tile by dragging and dropping it to your preferred location.
- Click Save in the upper-right corner to apply the changes.

Every time you open the dashboard, the time filter defaults to Last 15 minutes, which usually shows no data.
Some dashboards will include additional time related filters in the dashboard filter section. These time related filters, such as fiscal year and accounting periods, can be used to further refine the data to specific time periods.
To populate the dashboard with data you must first update the time filter which is found at the top right side of the dashboard. The time filter defaults to Last 15 minutes each time the dashboard is opened.
- Go to the top right corner of the dashboard.
- Click the calendar icon.
- In the Quick Select window:
- Hover over 15 minutes until the arrows appear.
- Change 15 to 2
- Change minutes to years
- Click Apply
You can filter data directly from charts:
- Click on a bar, pie slice, or chart section.
- If multiple filters apply, a list will appear.
- Select or unselect the filters you want.
- Click Apply
To reset the dashboard to the previous settings, you can remove filters by clicking the "x" next to the filter or selecting the Change All Filter icon.
To drill down into a chart:
- Hover over the top-right corner of a visualization.
- Click the three-dot menu.
- Select:
- Inspect to view detailed data
- Maximize panel to view the chart full screen
- From Inspect, you can download data as a CSV file
Troubleshooting Common Issues
- Means only partial data is displayed.
- Fix: Expand your time filter to include more data.
- Caused by too much data being pulled.
- Fix: Adjust the time filter to bring in less data into the dashboard.
Tip: The best option is to set the time filter to 1 year unless working with a multiple year dashboard such as Year-Over-Year or Trend Analysis.
Try these steps in order:
- Reload the webpage. If this doesn't work...
- Return to your homepage
- Wait for the tile to reload, then reopen the dashboard.
Tip: Be sure to load only 1 years’ worth of data to the time filter.
- Often caused by cached data.
- Fix: Click the browser refresh button to reload the page.
