Process and Review Credit History

Purpose: Use this document as a reference to process past due balance credit history in order to age student accounts in ctcLink.

Audience: Student Financials staff.

You must have at least one of these local college managed security roles:

  • ZD SF Processing Inquiry
  • ZZ SF Collections
  • ZZ SF Processing Inquiry

Reminder! No Due Date charges on student accounts can be found utilizing the query: QCS_SF_ITEM_CHARGE_NO_DUE_DATE.

1. Process Student Credit History

Navigation: Student Financials > Collections > Credit History > Process Credit History

  1. The Credit History run control search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type).
  3. The Credit History page displays.
  4. Use the Select Option group box to select how to run the Credit History process. The fields to the right of this group box change, depending on the option selected.
    1. All IDs:  All of the students or organizations in the database with outstanding charges.
    2. One ID:  A single student or external organization.
    3. ID Range:  A range of students or organizations.
    4. Last Activity Date:  Those students or organizations that have had activity on their accounts since a given date.
    5. Temp Table: This is the recommended option. Use the Temp Table to select your population for processing credit history.
  5. Enter the information into the Processing Options section, based on the Select Option chosen:
    1. Business Unit: Institution Code.  
    2. Aging Set: STD.
    3. Switch ID: By Empl ID.
    4. Temp Table ID: Institution Code.
  6. When Temp Table is selected, the Temp Table Build Options become available:
    1. Under the Last Activity Date Options section, select the Use This Date radio button.
    2. Under the Process Only section, select the Last Activity radio button.
    3. Select the Population Selection checkbox.
      1. Use the Selection Tool to select PS Query.
      2. Enter or search for the Query Name: CTC_SF_PDUE_CRDHIST.
    4. Select the Edit Prompts link and the Query Prompts page displays.
    5. Enter the Business Unit and select the OK button.
    6. The Credit History page displays.
    7. Recommended: Select the Preview Selection Results link to ensure you have a sample of the population (limited to the first 300 rows). To see the entire population, you can run the query in query viewer.

How does CTC_SF_PDUE_CRDHIST identify your population? The query looks for those that are customers that have a past due balance. Limiting the unnecessary volume of calculating accounts that are not past due. The query also looks for individuals in the COLLECTION_SF table that now have $0 past due, except for when they have made a Collection Agreement, so long as they are paying as agreed.

When customers are in the COLLECTION_SF table that generally means we are sending them past due notices, please refer to the Process Batch Collections QRG.

  1. The Service Indicator Update fields are not utilized.
  2. The Back Date group box can allow for the recalculation of credit history for a prior date. If you are considering this, please contact the State Board via ticket for further instructions.
  3. Select the Run button.
  4. The Process Scheduler Request page displays.
    1. When using the Temp Table: Select Credit History Job (process name SFCREHST) from the process list on the Process Scheduler Request page.
    2. When NOT using the Temp Table: Select Credit History (process name SFPCRDPS) from the process list on the Process Scheduler Request page.
  5. Select the OK button.
  6. The Credit History page displays.
  7. Please refer to the Process Schedule Request steps for further instructions.
  8. Process complete.

This process takes some time and must run to 'Success' in the Process Monitor prior to running other processes. Otherwise, it may cause unexpected results.

2. Review Past-Due Aging Report

You must have at least one of these local college managed security roles:

  • ZD_DS_QUERY_VIEWER

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Check out the below past due account aging report:

Navigation: Reporting Tools > BI Publisher > BIP Query Report Viewer

  1. The Query Report Viewer page displays.
  2. Select the Search by drop-down and select Data Source ID.
  3. Enter in the begins with field CTC_SF_RPT_SF821 and select the Search button.
  4. Select the View Report link and the Report page displays.
  5. Enter the Business Unit and select the OK button.
  6. Process complete.

Ensure you have pop-ups enabled as this process will open a new window in your browser with the report.
