ConexED Staff Access
Purpose: Use this guide to provision and manage staff access to ConexED via ctcLink security. It also explains initial access and how to manage access when staff no longer require ConexED access.
Audience: College Staff
Provision Staff Access
- Staff access to ConexED is provisioned through ctcLink security. Once access is provisioned, staff sign in to ConexED using their ctcLink Okta credentials.
- Local Security Administrators (LSAs) must:
- Assign the ZZ ConexEd Staff Access role to the staff member.
- Verify that the staff member has SACR Academic Institution Security for the appropriate college.
- Allow the staff synchronization process to complete. The synchronization runs each weeknight, so newly provisioned staff should have access to ConexED on the following business day.
- As part of the synchronization process, the following information is synced from ctcLink Campus Solutions (CS) to ConexED:
- EMPLID.
- Preferred Name – Uses the Primary Name if no Preferred Name exists.
- Preferred Phone.
- Email.
ℹ️ Note: Staff information is pulled from the Campus Solutions (CS) side of ctcLink, not HCM.
Initial Staff Security Role
- Newly provisioned staff are assigned the Student role in ConexED by default. This provides the minimum access level until a ConexED Administrator assigns additional permissions.
- If the staff member already has an existing ConexED account, the synchronization process may update profile information, such as the user's name, email address, or phone number.
- The synchronization process does not change the user's existing ConexED role or permissions.
Remove Staff Access
- When a staff member no longer requires access to ConexED, colleges and Local Security Administrators (LSAs) should follow their local staff offboarding business processes to remove the appropriate ctcLink security access.
- ConexED recommends retaining staff accounts in ConexED to preserve historical records. A ConexED Administrator should update the user's role or permissions in ConexED according to the college's local security procedures rather than deleting the account.
