HCM: Local Configuration Guide - HR Core

This document contains the local configuration decisions made for use in deployment of the Human Resource Core Module of the Oracle’s PeopleSoft HRMS 9.2 application.  As such, all additional documentation must be in agreement with the related items described herein.  Should conflict arise with information contained in another document, the data in this document shall be considered valid and that of the other shall be deemed incorrect.

Any changes to the information in this document should be entered as dated additions.  No information should be deleted once initial configuration has been completed.

The HR Core Local Configuration and Decision Guide explains necessary tables needed to setup an institution in the PeopleSoft system. The order of the configuration tables presented in this document adheres to the table setup sequence required to successfully set up all tables.

TableSet IDs (Enterprise)

Define TableSet ID.

Adding Set ID’s:

  1. Enter Set ID as defined by college
  2. Add description
  3. Add short description
  4. Add comments if needed for additional clarification

Business Unit (Enterprise)

Define business units.

Adding new Business Unit:

Add new defined Business Unit as defined by college.

Status = Active

Add description and short description

Default Set ID equal to newly defined Set ID

GL Bus Unit  use cross walk provided by college.

Business Unit Options Defaults

Set system defaults such as company, country, and currency for a specific SetID.

To set up additional Business Units defaults:

Select SET ID from the list to add default values:

  1. Company
  2. Country
  3. Currency
  4. Default Standard Hours  will automatically default to 40 hours
  5. Work Period  will automatically default to W
  6. Minimum Standard Hours  will automatically default to 0
  7. Maximum Standard Hours  will automatically default to 60

Establishment (Enterprise)

An establishment is usually a physical location in the organization. Establishments defined for each company to meet EEO reporting requirements for Occupational Illness and Injury Record keeping (OSHA 200) and Equal Employment Opportunity/Affirmative Action reporting in the United States.  

Additional configuration to come with each deployment.

Adding Establishments:

  1. Add newly defined Establishment ID (equal Company ID)
  2. Effective Date:  enter effective date for Establishment ID
  3. Status:    Active
  4. Description:   add description
  5. Short Description:  add short description
  6. Reg Region:    USA
  7. Company:    enter company associated with entered Establishment ID
  8. Country:      USA
  9. Edit Address:   enter address for Establishment

Departments (Enterprise)

Departments are business entities within a Business Unit.

FSCM is the system of record and will publish these values to HCM.  When received from Finance, it will be required by HCM to update additional fields for the department:

Location

Use the Locations component to establish physical locations in your organization, such as corporate headquarters, branch offices, remote sales offices, and so forth.

To set up additional locations:

  1. Add new defined Location as defined by college
  2. Status = Active
  3. Add description and short description
  4. Add Bldg & Floor
  5. Add address
  6. Add Regulatory Region
  7. Add Holiday Schedule  Leave this field blank; holiday schedule will default from Pay Group table

Defines organizational defaults for users by their primary permission list.

User permission lists will be created for each college and need to have their defaults updated on this page.

Define a company's paid holidays for a given year.

Add additional year to Holiday Schedule:

  1. Select WACTC Holiday Schedule
  2. Insert new row
  3. Enter date of holiday
  4. Enter Description
  5. Enter number of hours = 8                                  
  6. Select Standard for holiday type
  7. Start time = 12:00AM
  8. End time = 11:59PM

Define positions.

To enter a new Position:

  1. Position numbers will automatically increment to next number
  2. Enter effective date of position
  3. Click on the “Initialize” button to copy similar characteristics of another position  a dialog box will prompt you to the position number you want to copy
  4. Reason = NEW for a new position
  5. Position status = Approved
  6. Enter Status Date for the position status
  7. Select if this position is a Key Position
  8. Enter Business Unit
  9. Enter Job Code
  10. Enter if this job is Regular / Temporary
  11. Enter if this job is Full / Part Time
  12. Enter Regular Shift  will default to “Not Applicable”

  1. Select Position Pool ID if you want to group related positions together for budgeting purposes  if applicable
  2. Pre-Encumbrance Indicator  select from:

  4. Encumber on requisition
  5. No Encumbrance
  6. Select Calc Group (Flex Service)  when using Track Flexible Service
  7. Select Encumber Salary Option if using Manage Commitment Accounting to encumber salaries
  8. Select Academic Rank for any positions that are faculty positions
  9. Select Classified Indicator to associate the position with a full time equivalent classification
  10. Enter the FTE value for position for defining an FTE budge in Manage Commitment Accounting
