9.2 Process Collections (Put Multiple Students in Collections)

Purpose: Use this document as a reference for how to move groups of students in or out of collections in ctcLink.

Audience: Student Financials staff.

Process Collections

Navigation:  NavBar > Navigator > Student Financials > Collections > Process Collections

  1. The Process Collections search page displays.
  2. Search for an existing Run Control ID or add a new value using the Add a New Value tab. Once you have saved your first Run Control ID you just select Search and reuse it the next time.
  3. Select the Search or Add button.
  4. The Process Collections page displays.
  5. Enter or select the Business Unit.
  6. Select By Empl ID as the ID Switch.
  7. Enter the desired information into the Reason In field.
  8. Enter the desired information into the Reason Out field.
  9. To view a report of what collection items would hypothetically be assigned to collectors, select the Report Only check box.

Note: If you select Run with the Report Only box checked No Tables are actually updated, just a report.

  1. To actually insert values in the COLLECTION_SF table leave Report Only unchecked.
  2. Select the Run button.

  1. The Process Scheduler Request page displays.
  2. The Collection Process should be selected from the process list.
  3. Select OK.

  1. The Process Collections page displays.
  2. Select the Process Monitor link.
  3. The Process Monitor page displays.
  4. Refresh the page until process has run to Success and Posted.
  5. Select the Details link once the process is finished.

  1. The Details page displays.
  2. Select the View Log/Trace link.
  3. The View Log/Trace page displays.
  4. Select the sfcollec_#####.PDF link.
  5. This PDF has the Process instance in its name and is produced regardless of the Report Only box being checked.

  1. The Collections report displays.
  2. The PDF provides information on ID’s going into Collections as initiated, or having their collection record closed.

SF Business Unit

The configuration criteria that controls this in/out is found on the SF Business Unit. Both the Amount and the Past Due Category must be met to enter/exit the Collections Table.

Navigation: NavBar > Navigator > Setup SACR > Product Related > Student Financials > SF Business Unit
