9.2 Assigning a Student Equation Variable and Student Group

Purpose: Use this document as a reference for linking a student to a waiver using either Equation Variable or Student Groups in ctcLink.

Audience: Cashier, Bursars.

Assigning a Student Equation Variable and Student Group

Waivers using Equation Variables

Navigation:NavBar > Navigator > Student Financials > Tuition and Fees > Equation Variables

  1. The Equation Variables search page displays.
  2. Enter a student ID.
  3. Select the Search button.

  1. The Equation Variables page displays.
  2. On the Character Variables tab:
    1. If this is the first time to add a Character Variable, continue to the #3 step.
    2. If the student is in need of a term for which to add a waiver, use the + (plus) button to add a new row.
  3. Enter the Term.

If the waiver requires the use of the Y/N Flags tab, first Save the Term and then select that tab.

When time comes to add a new term for the use of a Y/N Flag, add a new row on the Character Variables tab, then add the Term and Save; prior to selecting the Y/N Flag tab.

  1. Enter the Character Variable. A list of waiver codes is provided at the end of this guide.
  2. Select the Save button.

Tuition Calculation

Navigation:  NavBar > Navigator > Student Financials > Tuition and Fees > Tuition Calculation

  1. The Tuition Calculation search page displays.
  2. If necessary, re-enter the student's ID.
  3. Select the Search button.
  4. The Tuition Calculation page displays.
  5. Use the arrow buttons to scroll to the Academic Career and Term for which the Waiver should apply.
  6. Select the Calculate Tuition and Fees button.
  7. Confirm that the appropriate Academic Career and Term is displayed or scroll to the correct one.
  8. Review the results by selecting the Display Tuition and Fees link.

  1. The Tuition and Fees display.
  2. Select the Tuition and Fees 1 tab. Ensure that the Waiver line appears and displays the correct amount.

  2. Review the Fee Code information.

  2. Review the Waiver Code, Adjustment Code, Adjustment Reason, and Refund Percent information.

  1. Select the Tuition and Fees 4 tab.
  2. Review the Academic Institution and Academic Career information.
  3. Select the Return button.

Waivers using Student Groups

Navigation: NavBar > Navigator > Records and Enrollment > Career and Program Information > Student Groups

  1. The Student Groups search page displays.
  2. Enter the student's ID.
  3. Select the Search button.
Student GroupsFind an Existing Value
  1. The Student Groups page displays.
  2. Enter the Academic Institution.
  3. Enter or select the Student Group.
  4. Enter the Effective Date, the date on which the Student Group should become active.  The effective date should be on or before the term start in which tuition is being calculated for.  
  5. Set the status to Active.
  6. Optionally, enter additional information in Comments.

  1. Select the plus sign (+) to insert a new effective dated row.

  1. Update the Effective Date to correspond to the term end date for the term in which the waiver is being applied.
  2. Set the Status to inactive.
  3. Select the Save button.
