Athletic Waiver

Purpose: Use this document to understand the supplemental policy documentation outlining the system-wide framework for the global implementation of the athletic tuition waivers in ctcLink. Please visit the NWAC Administrative Policies & Procedures for additional detail/information.

Audience: Student Financials Administrators, Registration Records Administrators, Athletic Directors, Coaches, and those working with tuition waivers.

October 2025 Update

Below are important updates regarding the implementation of athletic waivers, following a recent meeting between NWAC and SBCTC.

  • New waiver guidance posted to SBCTC Website in coordination with NWAC polices and procedures:
    • To qualify for an athletic waiver, a student must be enrolled in 12 or more college-level credits (course number 100 or higher) across one or more Washington State community or technical colleges.
    • If a student is enrolled in fewer than 12 credits, they may still qualify if they can demonstrate that they are enrolled in at least 3 credits and have either:
      • Earned 70 or more cumulative college level credits, or
      • Have completed an Associates degree.

Applying the Athletic Tuition Waiver

There are two methods available to apply the Athletic Tuition Waiver in ctcLink

Expand or collapse content Student Enrolled in 12 or More Credits

As long as the student maintains the agreed-upon credit load, the waiver will be automatically applied or removed based on changes in registration.

  • Please refer to the Apply/Update Student Waivers Through Equation Variables and Student Groups QRG.
  • Follow the Apply/Update Waivers Using Equation Variables.
  • Apply the following waiver based on the student.
  • Please note: example percentages listed below, colleges will determine their own percentage amounts.
    • W63_50 - 50% Resident Athletic Waiver
    • W64_75 - 75% Nonresident Athletic Waiver
    • W63All - 100% Resident Athletic Waiver
    • W64All - 100% Nonresident Athletic Waiver
Expand or collapse content Student Enrolled in Fewer Than 12 Credits

These students are exceptions to the main waiver rule and require a manual adjustment waiver entered on the Assign Waiver Page.

  • Please refer to the Assign a Waiver for an Individual Student QRG.
  • Apply the following waiver based on student:
    • W63MAN - Manual Resident Athletic Waiver
    • W64MAN - Manual Nonresident Athletic Waiver
  • The waiver amount must be entered manually. You may use either the Flat Amount field or the Waive Percentage field.
    NOTE: The waive percentage is dynamic and will adjust with adds and drops while the flat amount will stay the same regardless of enrollment changes (assuming there are charges for it to apply to).

QCS_SF_ATHLETIC_AID_WVR_ELIG - Use this query to determine whether a student (or group of students) meets NWAC waiver eligibility criteria.

QCS_SF_ATHLETIC_WVR_APPLIED - Use this query to identify which students have received an athletic waiver for a specific term.

Upon Board of Trustees review and approval, please submit a support ticket to SBCTC. The State Board will build out the specific dollar waivers in collaboration with you.
