Audience: Content is specific for Deployment Group 5 and 6 (with samples from DG3 and DG4) but all deployment groups can gain knowledge from the content.
Project Introduction
WHY CTCLINK?
ctcLink is the implementation of a single, centralized system of online functions to give students, faculty and staff anytime, anywhere access to a modern, efficient way of doing their college business.
ctcLink is about much more than new software. As the current 35-plus-year-old administrative system is replaced, colleges will examine their core business processes and practices to align with the delivered software solution (Oracle PeopleSoft), making for streamlined, standardized practices across the 34-college system.

ctcLink Quality Gates & Milestones
Large projects can exceed time and budget because issues are not visible to management. By monitoring the quality of project results and steering a project through certain major milestones or “Quality Gates,” such issues can be mitigated or avoided.
Quality Gates are key milestone moments at each of the multiple phases of a project that depend on the outcome of a previous phase.
WHO DEPLOYS WHEN?
By the end of 2022, all the colleges and the Washington State Board for Community and Technical Colleges agency office in Olympia will implement in groups (formerly referred to as “waves”) ranging from six to nine colleges each.
Deployment groups (DG) were created with an eye toward balancing many factors, including, but not limited to: deployment size, college readiness, colleges’ preference, college type (technical or community college), and whether the summer quarter is the start or the end term (“header ”or “trailer”) for the college’s financial and student calendar.

SELF-PACED CANVAS COURSES
Self-paced courses that include a combination of overview information, videos, Quick Reference Guides (QRGs) and assessments. Coursework includes:
- Review of the Global Configuration Framework to help SMEs understand enterprise processes
- Global elements within PeopleSoft in preparation for Business Process Fit/Gap (BPFG) sessions
- Skills assessments to meet BPFG session participation prerequisite
The Cross-Pillar GDA course is the prerequisite to all other GDA courses. It is the first step to help you understand what Global Design Adoption (GDA) means and how it relates to the overall framework for Business Process Fit/Gap (BPFG) and conversion activities. Upon completion of the Cross-Pillar GDA course, additional pillar-specific courses will become available. Course completion times vary depending on the number of courses/modules required.

PMs are encouraged to ask SMEs about their GDA learning experience, knowledge gained from the course(s) and how they might apply it to the college’s Change Action Plan to move toward the future state. Your interest in their participation and their ideas for how they will move forward into the next step of project work demonstrates to staff that leaders feel their engagement has value to the college.
GDA course completion is required to prepare college SMEs to attend Business Process Fit/Gap (BPFG) sessions in the future!

Who should participate?
- College SMEs and 1-2 back-up SMEs for your college. These SME should have current legacy business process knowledge and have mapped out their current processes and can make configuration decisions.
What are BPFG Sessions?
- These are remote sessions via WebEx. These sessions are facilitated by our functional project team members.
When do BPFG sessions begin for DG6?
- Some pillar-specific sessions are estimated to begin January 2021.
When are BPFG scheduled to end for DG6?
- For some pillars, sessions will end in May 2021.

Goals
- Increase college SMEs knowledge of PeopleSoft and business processes in PeopleSoft.
- Build on knowledge of global design learned in Global Design Adoption (GDA) courses.
- Prepare SMEs for data validation.
Outcomes
- College SMEs will have a better understanding of the differences between their Legacy business processes and the new business processes in PeopleSoft, and document these changes in Change Action Plans.
- College SMEs will complete configuration homework assignments which will be used for college’s local configuration.

BPFG LEADERSHIP SUPPORT OPPORTUNITIES

Data Conversion and Validation
At a glance, conversion is a repeatable process in each cycle, though some exceptions apply.
- BPFG Session Homework Assignments related to conversion are entered and tested in the system in time for the first major conversion test (Cycle #2).
- Additional Configurations are entered from BPFG Session Homework Assignments and tested before the next conversion test (Cycle #3).

An initial ‘delta’ extract is run in Legacy Production:
- Provide colleges with a set of Excel files showing the errors written out by the extract programs for records that won’t be picked up in the Extract Files OR will be included the Extract Files, but missing data in certain fields on load into PeopleSoft.
- Colleges work to “clean up” Legacy Production to avoid extract errors when the conversion test is run using online materials in our ctcLink Reference Center.

PeopleSoft configuration values are cross-walked to their equivalent legacy values to ensure proper conversion.
- Project runs early extracts and populates our cross-walk tables to identify all legacy values that need to be cross-walked in the weeks leading up to each conversion.
- Project staff will reach out to colleges for assistance in cross-walking if questions.

Colleges provide necessary data files used by the extract programs or as data to load into the system outside of programmatic load processes:

Project Team Converts the Data:
- Extracts records from a snapshot copy of legacy data, which colleges can refer to in their ‘C’ accounts.
- Loads the transformed data in a PeopleSoft Conversion Test environment, which is a snapshot of PS Production.

Project Teams Internally Validate the Conversion
- Identify common errors or unique issues specific to a college.
- Publish material updates in Canvas (“Known Issues”) and update the online Validation Guides (“Common Issues), as needed in preparation for Validation Workshops with college SMEs.

Training
CTCLINK TRAINING INFORMATION
A flipped classroom or hybrid model of training is being introduced, in which the user completes a majority of their coursework online, as well as attends instructor led workshops remotely through WebEx. Required materials will be available through Canvas, allowing self-paced learning being the bulk of the user’s experience, with workshops offered for topics that have concepts that are best taught through Instructor Led Training (ILT). These workshops will be offered remotely through WebEx, with staff attending from their own campuses.
Training courses provide basic instruction on how to use ctcLink PeopleSoft. Your organization will provide local ctcLink training specific to your agency or campus procedures (e.g. deadlines for travel forms, purchasing policies). Courses are self-paced.

Legacy Clean Up
Extract Error Logs (Raw Data Files)
Notepad Documents showing what the COBOL extract programs write out as ‘errors’. Essentially, this is what either:
- Won't extract.
- Will extract, but will leave some data blank in PeopleSoft.
Extract Error Logs (Raw Data Files are converted to Excel Files for college use)
The excel files contain all data elements that will not convert to PeopleSoft correctly.Essentially, this is data that:
- Will prevent a record from converting to PeopleSoft.
- Will leave some data elements blank in PeopleSoft.
Most of the information in these files contains incorrect data. While Legacy may have "allowed" this incorrect data to be stored in a data element, PeopleSoft will not allow data which is outside of a specified range. Correcting this data in Legacy ensures that you have accurate information in Legacy for historical purposes, and accurate information converts to PeopleSoft.
