Cybersource Pending Payments

Purpose: Use this documents as a reference for processing Cybersource pending payments.

Audience: Student Financials Staff

You must have at least one of these local college managed security roles:

  • ZZ SF Electronic Transactions

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

When the student’s credit card payment has been authorized but has not posted to the Student Financials tables, you can run the steps below to have the credit card payment posted.

Ensure you have access to Cybersource during this process or work with a local colleague who has access. Monitoring Cybersource ensures that everything runs correctly and there are no errors on the Cybersource side.

Pending Payments
1. Review Pending Payments Query

It is important to review the student account to ensure there is not a duplicate payment.

Navigation: Reporting Tools > Query > Query Viewer

  1. The Query Viewer basic search page displays.
  2. Enter the Query Name QCS_SF_EPMT_PENDING.
  3. Select the Search button and the Query results populate.
  4. Select the link to your preferred Run to option and the query opens in a new window. It is recommended to select the Run to HTML link.
  5. Enter in the Institution Set and select the View Results button.
  6. Results display at the bottom of the page.
  7. Section complete. Please refer to the Running a PeopleSoft Query QRG for additional query processing questions.

2. Run the Batch Credit Card Process

Navigation: Student Financials > Charges and Payments > Electronic Transactions > Electronic Payments > Process Credit Cards

  1. The Credit Card Processing run control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value page to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value button to create a new Run Control ID and select the Add button.
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type).
  3. The Credit Card Processing page displays.
  4. Enter or search for the SF Merchant ID XXXSelfCCRD where "XXX" is your institution code.
  5. Ensure the Credit checkbox is selected within the Service Request section.
  6. Within the Credit Card Transaction Source section:
    1. Select the All checkbox.
  7. Select the Re-Post Self Service Errors checkbox.
  8. Select the Run button and the Process Scheduler Request page displays.
  9. Select the SF ePayment Processing checkbox within the Process List.
  10. Select the OK button and the Credit Card Processing page displays.
  11. Please refer to the Process Schedule Request steps for further instructions.
  12. Section complete.
Process Credit Cards Credit Card Processing page. The Credit checkbox is selected within the Service Request section. The All checkbox is selected within the Credit Card Transaction Source. The Re-Post Self Service Errors checkbox is selected.

Review Posted Payments

If you have manually posted a payment to a student account that was not automatically posted, this would involve manual clean up as this could result in double payment posting.  It is best to reverse the manual payment(s) as those would not have the CyberSource connection and could cause issues when refunding. Please refer to the Reverse Student Payments/Charges QRG.

Navigation: Reporting Tools > Query > Query Viewer

  1. The Query Viewer basic search page displays.
  2. Enter the Query Name QCS_SF_EPMT_REPOST.
  3. Select the Search button and the Query results populate.
  4. Select the link to your preferred Run to option and the query opens in a new window. It is recommended to select the Run to HTML link.
  5. Enter the:
    1. Business Unit.
    2. Posted or Run Date.
    3. Optional: Created By.
  6. Select the View Results button.
  7. Results display at the bottom of the page.
  8. Process complete. Please refer to the Running a PeopleSoft Query QRG for additional query processing questions.
