9.2 Transferring an Employee to a New Position

Purpose: Use this document as a reference for transferring an employee to a new position in ctcLink.

Audience: Human Resources Specialists.

You must have at least one of these local college managed security roles:

  • ZC HR Employee Maintenance
  • ZD FWL HCM View Pay
  • ZD HR Central Config VW
  • ZD HR Admin View Job Data
  • ZD Benefits Employee Data Inq
  • ZD HR Employee Maintenance VW
  • ZD HR Limited Person Job Info
  • ZZ HR Employee Maintenace
  • ZZ SS Workforce Administrator
  • ZZ FWL HCM Pay Process

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

The transfer process consists of the following steps within the Job Data Component:

  • Specify a reason for the transfer/Assign the Effective Date.
  • Change the employee’s position number.
  • Calculate the employee’s compensation.

Transferring an Employee to a New Position

Step 1: Specify the reason for the transfer

Navigation:  Menu > Workforce Administration > Job Information > Job Data

  1. The Job Data search page displays.
  2. Enter the Empl ID in the Search Criteria section.
  3. Select the Search button.
  4. Select the appropriate Empl Record from the Search Results section.
  5. The Job Data page displays.
  6. If the fields in the Work Location tab need updating, select the Add a Row button to modify this information.  NOTE: Be sure to Add a New Row instead of overwriting the current information so a history is maintained.
  7. Enter the effective date of the change in the Effective Date field.
  8. Select Transfer from the Action drop-down menu.
  9. Select Transfer from the Reason drop-down menu.

Step 2: Change the Employee’s Position Number

  1. Select the Position Number lookup icon to search for the new position number or enter the new position number.

Step 3: Change the Employee’s Compensation

  1. Select the Compensation tab.
  2. The Compensation page displays.
  3. Select the Default Pay Components button.

OR

  1. Enter a Comp Rate in the Comp Rate field and select the Calculate Compensation button to recalculate the compensation of the transferred employee.
  2. Select the Save button.
