Testing in PCD and Production

Purpose: This document serves as a notice that no one should create a "fake" or "test" EMPLID.

Audience: Admissions staff.

Do not create additional test EmplIDs for testing in Production. The use of unauthorized test EmplIDs have severe impacts on a number of critical systems, including data, reporting, FTEs and Financial Aid. Testing in the Production, the live ctcLink environment, can be dangerous. For this reason, multiple test environments are maintained for testing purposes. ctcLink colleges have their exclusive test environment called "PCD." The PCD test environment is available for colleges' testing, troubleshooting, and query development. Testing in PCD can include practicing established business processes, developing new business processes, testing security access, developing queries, or researching "What would happen if I did X?" questions.

The PCD environment is available Monday through Friday, 6 a.m. to 7 p.m. It is common for the PCD environment to run more slowly in the mornings while cache rebuilds.

Be aware that PCD is refreshed regularly (typically the first Monday of each month), which will overwrite any changes made in PCD. For the latest PCD refresh schedule and additional guidance, visit the SBCTC Environment/Pillar Updates page.

SBCTC has implemented Okta Multi-factor Authentication (MFA) in the ctcLink non-production environments to enhance security. Users will now be required to log in via the Okta Preview page (https://oktapreview.ctclink.us/app/UserHome) and select the PeopleSoft PCD tile to access PCD.

Users new to PCD can establish their PCD logins by following the "First Time User?" link. Please contact your campus security administrator if you cannot log in to the PCD test environment.

Any testing that can occur in the PCD test environment should occur in the PCD test environment. If testing must take place in Production, colleges have three authorized test EmplIDs that can be used for testing. These authorized test EmplIDs are the only EmplIDs that can be used for testing in Production. Do not use any other EmplID for testing in Production.

Each college can update the bio demo information associated with its authorized EmplIDs. The EmplIDs can also be activated in program/ plan stacks and term activated as needed. These EmplIDs can be used for a variety of testing purposes. Be careful to document the testing that occurs in Production and undo testing changes as needed. For example: If an authorized test EmplID is used to test an enrollment requirement, ensure that the authorized test EmplID is dropped from any classes it is enrolled in so that it does not take up space in a class that could have been occupied by a real student.

Do not use authorized test EmplIDs to test the OAAP. The OAAP does not accept authorized test EmplIDs. For questions about or assistance with OAAP testing, submit a ticket.

Please submit a support ticket to request instructions for testing HCX in PCD.

Unapproved test EmplIDs are marked with an SUI service indicator upon identification by the SBCTC CS Support Team for deletion at a later date. Colleges can identify unauthorized test EmplIDs and either mark them with an SUI service indicator or submit a ticket. Do not remove SUI service indicators from unauthorized test EmplIDs.

➡️Activate Your Account

  1. Navigate to the Okta Preview login page.
  2. Enter your ctcLink ID.
  3. Select Activate Your Account – PCD.
  4. Select OK when prompted.

  2. Enter your:
    • First Name.
    • Last Name.
    • Date of Birth.
  3. Select ctcLink ID (new) as the ID Type.
  4. Enter your ctcLink ID.
  5. Select Submit.

  1. The Set Your Password page displays.
  2. Enter your preferred email address.
  3. Configure account recovery using:
    • Text Message (SMS).
    • Voice Call.
  4. Create and confirm your password.
  5. Select Submit.
  6. Select OK after receiving the account activation confirmation.
  7. Close the First Time Account Activation browser tab.
  8. Return to the Okta login page.

➡️Sign In After Activation

  1. Enter your ctcLink ID.
  2. Select Next.
  3. Enter your password.
  4. Select Verify.
  5. Select an authentication method.
  6. Select Email (or another configured verification method).
  7. Select Send me an email.
  8. Retrieve the verification code from your email.
  9. Enter the verification code.
  10. Select Verify.

➡️Launch the PeopleSoft PCD Environment

  1. The ctcLink My Apps dashboard displays.
  2. Select the PeopleSoft PCD tile.
  3. Re-enter your password.
  4. Select Verify.
  5. If prompted, select your college or district.
  6. The ctcLink Gateway displays.

➡️Returning Users

Users who have already activated their account can sign in using the same process.

  1. Navigate to the Okta Preview login page.
  2. Enter your ctcLink ID.
  3. Select Next.
  4. Enter your password.
  5. Complete MFA verification.
  6. Select the PeopleSoft PCD tile.
  7. Re-enter your password if prompted.
  8. Select your district or college (if applicable). This dashboard will look different for each user based on the institutions they are assigned to. If you are only assigned to one institution, you will be taken directly to the ctcLink GATEWAY.
  9. The ctcLink Gateway displays.
