Deleting Finance Run Control IDs

Purpose:  Use this document as a guide for deleting selected finance pillar-related run controls in ctcLink.

Audience:  Finance/Business office staff who have access to run processes.

You must have at least one of these local college managed security roles:

  • ZZ PeopleSoft User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

This functionality has been vetted and tested for Finance modules only and to please not leverage this for any other pillar-area in ctcLink.

Deleting Finance Run Control IDs

Navigation: Employee Self Service > Run Control Delete Tile

  1. From the Employee Self Service menu select the Run Control Delete tile.

  1. First time users will select the plus icon [+] to add a new request.

To view previous Delete Requests, select the Filter icon. The Search A Delete Request window displays. Select the lookup magnifying glass icon to open the Lookup window and review results. Close out the windows or select Cancel to return to the Run Control Delete page.

  1. After selecting the add icon the step one “Enter Details” will appear. Name the Delete Request a convention as approved by your agency.  It must only be numbers and letters (no symbols or spaces).
  2. Enter a Description.
  3. Select the Next button.

NOTE: It is recommended that the delete request naming convention be a unique set up because other users (including other colleges) cannot use your same delete request label and vice versa.  An example might be your initials, college number and date, or alpha.  Example used is BE10420231 which is the users initials, the date (remember no dashes or slashes) and an alpha or number.  The set up is your choice but if it is not unique it will not save.

  1. The Select Run Control page displays. The top portion of the page provides options to help you select the run control to delete. Search options available are:
    • Owner.
    • Process Name.
    • Component Name.
    • Run Control ID.
    • Process Type.
    • Used Before.
  2. Select the Search button to populate results below of selected search option. Mark the box of each of the run control ID’s to be deleted.
  3. Select the Next button.

Search Tips:

  • Use the Select All or Clear All buttons.
  • Select the Download to Excel Select Run Control icon (box with an 'X') to download search results.
  • Select the Find Select Run Control or magnifying glass icon to find a specific ID from the search results.
  • Select the Column Name or the Sort Select Run Controls icon to sort results by a specific column.

  1. The Review and Delete page displays the selected Run Control IDs to be deleted. Review the request and select the Previous button if need to go back and make changes.
  2. To proceed with the delete request, select the Submit button.

  1. The Processing Details window displays with a status of 'Completed' and a Process Instance number. Note, some run controls have more than one set up to delete. Select the Refresh button to refresh the page.
  2. Select the 'X' to close out the Processing Details page to return to the Run Control Delete page.
