Manage COD Counseling Data

Purpose:  Use this document as a reference on how to set a ctcLink system acknowledgment that an entrance or exit counseling has been completed as of the date reflected in COD.

Audience:  FA Staff, Loan Processors

Students that have completed entrance and exit counselings in prior years may not able to be loaded into ctcLink.  You can use the Manage COD Counseling Data page to record when a student has completed an Entrance or Exit Counseling as of the date reflected in COD.  This flags the system to acknowledge that the student has met the requirements, without having to load the file into ctcLink.

You must have at least one of these local college managed security roles:

  • ZD FA DL Prcs
  • ZD FA Director
  • ZZ FA DL Prcs
  • ZZ FA Direct Loan Processor

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Manage COD Counseling Data

Navigation:  Financial Aid > Loans > Manage Loan Counseling Data

  1. At the Manage COD Counseling Data Search Criteria page, start at the Add a New Value tab, if new record, and enter the following:
    • Academic Institution
    • ID
  2. Select the Add button.
  3. At the Entrance/Exit Loan Counseling page, enter the following:
    • Aid Year
    • Loan Code = STAF
    • Type = Entrance or Exit
    • Requirement = Required Once or Annual (depending on your local business process)
    • Status = Completed
    • Date Completed - as of the date reflected in COD.
  4. (Optional) - If you would like to add another row, use the + button.
  5. Select the Save button.
  6. End of procedure.
