FERPA Quick Entry

Purpose: Use this document as a reference to apply FERPA control to restrict data for a student.

Audience: College Staff responsible for maintaining student information.

You must have at least one of these local college managed security roles:

Apply FERPA Quick Entry & Release Restrictions

  • ZC CC Personal Information
  • ZD CC Personal Information
  • ZZ CC Pers Info NID Update
  • ZZ CC Personal Information

View Student's FERPA Privacy Button

  • ZD CC Super user

You must also set these SACR Security permissions:

If you need assistance with the above security roles or SACR settings, please contact your local college supervisor or IT Admin to request role access

Apply FERPA Restriction

Navigation:   Campus Community > Personal Information > Biographical > Person FERPA > FERPA Quick Entry

The Family Educational Rights and Privacy Act (FERPA) is a Federal law that protects the privacy of student education records. Please review local institutional policy for information on using this page.

  1. The FERPA Quick Entry search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.
  4. The FERPA Quick Entry page displays.
  5. In the Restriction Categories section, select one of the following
    • Restrict All Fields button
    • Restrict All Data checkbox
    • Restrict All button
  6. Select Save.
View Student's FERPA Privacy Button

Navigation:  Campus Community > Student Services Center

  1. The Student Services Center search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.

Security impacts the first tab in the Student Services Center view, preventing colleges from accessing information for students enrolled at other institutions in our system. Therefore, when you return to the first tab, the system will require you to enter the student's information again on the Search Criteria page to view the student's record. 

  1. The Student Services Center page displays.
  2. The FERPA Privacy button is located to the right of the student's EMPLID.
  1. Select the FERPA Privacy button to view message.
  2. Select Return.
  3. Student Services page re-displays.
Release Restrictions

Navigation:  Campus Community > Personal Information > Biographical > Person FERPA > FERPA Quick Entry

  1. The FERPA Quick Entry search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.
  4. The FERPA Quick Entry page displays.
  5. Select one of the following to release restrictions
    • Release All Restrictions button
    • Release All button 
  6. Restrict All Data check box is now unchecked.
  7. Select Save.
  8. Process complete.
