Understanding EMPLID Naming Conventions in Campus Solutions (CS)
Purpose: This Quick Reference Guide (QRG) explains EMPLID naming conventions within the ctcLink Campus Solutions (CS) pillar. It also includes relevant information on how EMPLIDs interact with other ctcLink pillars:
- HCM: Human Capital Management
- CS: Campus Solutions
- FSCM: Financials and Supply Chain Management

General EMPLID Information
An EMPLID is a system-generated, unique identifier assigned to each person record in ctcLink. EMPLIDs are created automatically using an incremental counter and must not be manually modified or assigned by college staff, as this can compromise system integrity. Always allow the ctcLink system to generate EMPLIDs to ensure consistency and avoid errors. Each person should have only ONE EMPLID in the system. The EMPLID will begin with a 1 or 2, depending on whether the individual was first entered as an employee or a student.
EMPLID Characteristics by Pillar
- HCM-Generated EMPLIDs
- Format: Begins with 10_______ (9 digits total).
- Automatically syncs to CS and FSCM.
- Individuals may have associated student data in CS if applicable.
- CS-Generated EMPLIDs
- Format: Begins with 20_______ (9 digits total).
- May sync to HCM only if HR staff manually import the record after performing a thorough Search/Match.
- May sync to FSCM if there is Student Financials data on the account.
- Common for students who do not have employment records.
- EMPLIDs are not generated in the FSCM pillar.
Special EMPLID Prefixes in Campus Solutions:
In certain cases, ctcLink CS Core Support may manually add a custom EMPLID prefix for specific business or data integrity reasons. These EMPLIDs should be treated according to their purpose.
Important Reminders
- College staff should never manually create new or change existing EMPLID numbers. Always let ctcLink handle EMPLID assignment.
- Be cautious when handling EMPLIDs with prefixes; they serve specific functions and may be restricted from general use.
- Always consult the relevant QRG or contact ctcLink Support for clarification when encountering unusual EMPLID formats.
- EMPLIDs beginning with X are excluded from SBCTC Reporting.
- Queries may exclude or include EMPLIDs with an "X" prefix depending on the purpose of the query.
