View Eye Exam Information
Purpose: This guide provides instructions for viewing exam records. Users will have access to view information but cannot modify data.
Audience: Student Services Staff.
You must have at least one of these local college macollege-managednaged security roles:
- ZD CC Super user
You must also set these SACR Security permissions:

Enhancement Request 291 Work Package 1 was implemented in production in February 2025.
- Colleges will no longer maintain specific accommodation, disability, or diagnosis code data in ctcLink. This is considered Category 4 highly sensitive information and college Disability Support Services Offices will collect and maintain this data at a local level.
- In ctcLink, Disability Support Services Offices will track students who have been approved for services using a new student group. Access to this student group should be limited, so please ensure local business processes are in place to protect confidential student data.

Accessing the Exam Records
- Enter the appropriate Search Criteria to locate the student you are interested in. This could include details like the student’s ID or name.
- After entering the search criteria, click Search to retrieve the student’s records.
Reviewing Exam Information
- The Eye Exam Addr/Phone tab will display the individual’s contact information.
- View the Exam Date field, which reflects the date the exam was conducted. This date defaults to the system entry date but may have been modified during data entry.
- From the Exam Type drop-down menu, view the selected exam type.
- View the Physician ID in the designated field.
- View the physician’s Address and Phone Number in the appropriate field.
Viewing Exam Details
- Navigate to the Eye Exam tab to review vision details.
- The Far Sight and Near Sight sections specify the individual's corrected and uncorrected vision.
- Corrected: Displays the individual's visual sharpness with corrective lenses.
- Uncorrected: Displays visual sharpness without corrective lenses.
- If the Baseline checkbox is selected, this exam serves as the benchmark for tracking vision changes over time.
- If the Correction Required checkbox is selected, it indicates that the individual requires corrective lenses.
- The Color Vision section contains two options:
- Normal (default selection) indicates normal color perception.
- Abnormal is selected if the individual has color perception deficiencies.
- Use the Referral fields to view whether the individual requires a specialist visit.
- Options include Optometrist, Specialist, etc., or None Required if no further examination is necessary.
- Comments can be viewed for additional details about exam results.
