Request New PS Finance Location
Purpose: This user guide assists you to request the addition of a new Location code to the Peoplesoft Finance tables. Locations that represent a building/room combination are used in the asset management module and must follow a specific coding structure.
Audience: Users in the business office need to assign tagged assets to a location in order to know where they are. New spaces used in the Finance pillar are added by SBCTC support staff through a service ticket system.
Background: The PS Finance module uses location codes to establish mailing addresses for accounts receivable and payable, receiving addresses for deliveries, as well as specific building/room locations for asset tracking purposes. This user guide is specific to the latter.
Navigation Paths
The navigation path depends on where you encounter the need for the Location code. You will most likely see it while processing a purchase order or entering asset management details.

DirectLine
Your first source for the Location code comes from DirectLine. Any space owned or leased by the college should already be added and the Location ID assigned according to the following structure:
- Location codes are 9 or 10 characters long and are composed of four parts:
- 2 character college code + 3 character building code + 4 character room code + 1 optional suffix code
The DirectLine Location ID is located in the top center field of the Room Entry and Distribution page.
Sample DirectLine Location ID
Location ID = PE00K0203
- PE = Peninsula College (college code provided by ctcLink team during conversion)
- 00K = Building 00K
- 0203 = Room 0203
If the space you need to add is not owned or leased by the college, you'll need to define a location code using the same structure.
Submit Request to SBCTC Service Desk
- Use the request form available below
- Be prepared with the following fields:
- Location code
- Effective Date
- Status (Active is default)
- Description
- Country (USA is default)
- Address
- Building (3 characters)
- Room (4 or 5 characters)
- Location Detail (optional - freeform text to better describe the location)

- Login with your user credentials
Complete the Request Type, Subject, and Detail information and attach completed form

- Attach completed Location ID request form
The Service Desk will notify you through the ticket system when the location has been successfully added.
