Invalid Commodity Code Listing
Purpose: The Office of Financial Management (OFM) periodically changes the Commodity Code listing in the SAAM manual. This report creates a listing of any assets (retired or active) with an obsolete commodity code. If these are current assets, you need to select a valid commodity code and make any adjusting accounting entries for any depreciation differences.
Audience: Business office personnel that maintain depreciation records for capital assets.
Navigation: Module / FAE Inventory / FAE Reports / Records with Invalid Commodity Codes
From the DirectLine main menu:
- Select FAE Inventory.
- Select FAE Reports.
- Select Records with Invalid Commodity Codes.
- Select OK.
Results will display in an Excel workbook. Tabs included in the workbook are:
- Building - Building records with invalid Commodity Codes.
- EQP - Equipment records with invalid Commodity Codes.
- Land - Land records with invalid Commodity Codes.
- Commodity Code - this is a list of current commodity codes including description and useful life value. You can select from this list when you update an asset record.
The Comments (Column B) explain why this record is included in the list. It can be an invalid Commodity Code or a blank field. Review Status (Column D), and Disposal Date (Column F) to determine if it is an active or retired record. Disposed records can be ignored.
Save a copy of this report to use as supporting documentation for any Commodity Code updates and accounting depreciation adjustments.
