Viewing Employee Absence Balances and Requesting an Employee Absence (Fluid)

Purpose:  Use this document as a reference for how to view current leave balances for employees and make absence requests on behalf of employees in ctcLink.

Audience:  Managers.

You must have at least one of these local college managed security roles:

  • ZZ Former Employee
  • ZZ HCM Manager
  • ZZ PeopleSoft User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Viewing Employee Absence Balances and Requesting an Employee Absence

Navigation:  Home Page > Manager Self Service > Team Time Tile

Viewing Employee Absence History
  1. The Team Time page displays.
  2. Select the View Requests grid link.
  3. Expand the Search Options by selecting the [>].
  4. Enter the applicable information into the Search your Employees field.
  5. Enter the As Of date.
  6. Select the Search button.
  7. Alternatively, you can scroll down through your list to select the applicable employee.
  8. The search results display.
  9. Select the grid link for the employee.
  10. The View Requests page displays with request history for selected employee.
  11. Select the grid link for the applicable request to view details.
  12. The Request Details page displays.
  13. Select the Request History grid link.
  14. The Request History pagelet displays.
  15. Select the [x] to close the window.
  16. The Request Details page displays.
  17. Select the Return to View Requests link.
  18. The View Requests for the selected employee displays.
  19. Select another absence request if applicable.
  20. Select the Return to Select Employee link to return to main View Requests page.
  21. The main View Requests page displays.
  22. Select another employee to view their request history if applicable.

The process to view an employee's absence history is now complete.

Viewing Employee Absence Balances
  1. From the Team Time page, select the Absence Balances grid link.
  2. The Absence Balances page displays.
  3. Expand the Search Options and enter your search criteria, or scroll down through your list to select the applicable employee.
  4. Make sure the As Of Date is correctly entered.
  5. Use the Select button to choose the employee the manager wishes to view.
  6. The Absence Balances page for the selected employee displays.
  7. All current balance information will be displayed to the manager for that employee in that specific job.

The process to view employee absence balances is now complete.

Requesting an Employee Absence
  1. From the Team Time page, select the Request Absence grid link.
  2. Enter the search options or scroll through list to select applicable employee.
  3. Make sure the As Of Date is correctly displayed.
  4. Use the Select button to choose the employee for whom the manager wishes to submit an absence request.

NOTE:   Ensure you access this page via the Manager Self Service.  If you (the Manager) navigates to this page via the Employee Self Service you will be submitting your own absence request.

  1. The Request Absence page displays.
  2. Select the applicable Absence Name from the drop-down menu.
  3. Select the Submit button to create the absence request.
  4. The absence request, while created by the manager, will still also need to be approved by the manager as part of the normal workflow.
  5. Select Yes in the Submit Confirmation screen.
  6. The Request Absence page updates to display fields to complete based on the Absence Name selection.
  7. Follow instructions in the QRG the complete necessary fields:  Request Absence.
  8. Select the Submit button.
  9. A message displays asking for verification of your request.
  10. Select the Yes button.
  1. The Request Absence page displays.
    • The Work Flow shows whether the request is entered as an Employee or as a Manager.
    • Show the Absence Request Status - If the absence was requested by the Manager as an employee, then in the Request History section the employee's name will be displayed in the Name field.
    • The Approval Chain link shows the approver and status of the approval.
