9.2 Viewing Absence Balances and History (Fluid)

Purpose: Use this document as a reference for how to view current leave balances and the history of absence requests in ctcLink.

Audience: Employees

You must have at least one of these local college managed security roles:

  • ZZ Former Employee
  • ZZ HCM Manager
  • ZZ PeopleSoft User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

If the employee has more than one active job record, then the correct job must be selected prior to viewing the balance.

If the employee needs more information about the leave balances or “Entitlements” they should contact their manager or HR.

Review Absence Balances

Navigation:  Employee Self Service (Homepage) > Time (Tile)

  1. Select the Time tile.  
  2. Select the Absence Balances tile.
  3. The Balances page displays.
  4. Review balance totals.  
  5. Only leave types that the employee is associated with will be displayed.

Note :  The ctcLink system is not using the Balance Details screen. (See example below) Ignore the absence balance history details.

The process to review absence balances is now complete.

View Requests and History

Navigation:  Employee Self Service > Time Tile

  1. The Time tile page displays.
  2. Select the View Requests tile.
  3. The View Requests page displays.  (If the employee has more than one active job record, then the correct job must be selected prior to viewing the history).
  4. Select the request to view.

  1. The Details page displays.
  2. Make sure the Start and End dates capture the period of time of interest.
  3. Submitted leave can only be altered or canceled by the manager or the HR leave administrator.
  4. Leave that is Denied by supervisors will show up in the Request History.
  5. Cancelled leave entries will still show up in Request History.
  6. Leave that is Pushed Back by supervisors will be accessible in Request History, and will need to be edited and resubmitted for approval.
  7. Leave that is Saved but not Submitted will not be approved or processed.

If the employee has saved leave, select the Edit button to finish the leave entry (see 9.2 Absence Request QRG).

  1. To view the history, select the Request History grid, located near the bottom of the screen.
  2. The Request History pagelet displays.
  3. Select the [x] in the top right corner to close.
  4. The Details page displays.
  5. To view the chain of approval, select the Approval Chain grid link.

  1. The Approval Chain pagelet displays.
  2. For Approver details, select the applicable Approver's name.
  3. The Approver Information pagelet displays.
  4. Select the [x] to close.
  5. The Approval Chain pagelet displays.
  6. Select the [x] to close.
  7. The Details page displays.
