9.2 Viewing Schedule Configuration

Purpose:  Use this document to view schedule configuration for Time & Labor in ctcLink.

Audience:  Time and Labor Administrators.

You must have at least one of these local college managed security roles:

  • <there are no college-grantable roles>

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

NOTE:  Only SBCTC has authorization to manage Workday, Schedule and Schedule Groups configurations.

View Schedule Configuration

Workdays

Navigation:  NavBar > Navigator > Set Up HCM > Product Related > Time and Labor > Schedule Configurations > Workdays

  1. The Workdays search page displays.
  2. Enter and select the Set ID from the lookup menu.
  3. Select the Search button.

  1. The Search Results display.
  2. Select the applicable Workday ID.

  1. The Workday page displays.
  2. Workday configuration is a place to define terms for individual days inside of the Schedule configuration area.  There are always "Hours per Day" i.e., 10 hour day, 8 hour day, Off Non Workday, etc.
  3. Workdays are a preliminary definition prior to making Schedules.

Schedules

You must have at least one of these local college managed security roles:

  • ZD TL Admin View Config

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  NavBar > Navigator > Set Up HCM > Product Related > Time and Labor > Schedule Configurations > Schedules

  1. The Definitions search page displays.
  2. Enter or select the Set ID from the lookup field.
  3. Select the Search button.

  1. The Search Results display.
  2. Select the applicable Schedule ID.

  1. The Definitions page displays.
  2. From the Definition tab, schedule configuration includes:
    1. Description:  Text describing the schedule in hours per weekday.
    2. Definition Type: Elapsed, Punch or Flex (once saved it can never be changed, ctcLink Schedules are Elapsed by Default).
    3. Days in Schedule: ctcLink only uses 7.
    4. Daylight Savings Rule: Fixed Tie (work is not completed in different time zones, so Fixed Time is the default).
  3. Taskgroup for Time Reporting is not used at this time.

  1. Select the Schedule Shifts tab.
  2. In Schedule Shifts under Shift Details, Workday ID identifies which days are on or off within the defined 7 day period.
  3. Selecting the Show Calendar link will allow the admin to identify which days in the 7 day period at aligned to specific days of the week (Mon-Sun).

  2. Select the OK button to return to Schedules tab.

Schedule Groups

You must have at least one of these local college managed security roles:

  • <there are no college-grantable roles>

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  NavBar > Navigator > Set Up HCM > Product Related > Time and Labor > Schedule Configurations > Schedule Groups

  1. The Schedule Group search page displays.
  2. Enter a Schedule Group or leave blank to return all values.
  3. Select the Search button.
  4. The Search Results display.
  5. Select the applicable Schedule Group to view.

  1. The Schedule Group page displays.
  2. Schedule Groups define groupings of employees that a college can then use to assign schedules to en masse. These group IDs can be found in the Time and Labor Workgroup, and the Absence Management Pay Group.
  3. Select Return to Search to view additional Schedule Groups is desired.
