9.2 Creating a Statistical Journal Entry
Purpose: Use this document as a reference to create a statistical journal entry in ctcLink.
Audience: Finance and Business Office staff
You must have at least one of these local college managed security roles:
- ZZ GL Journal Entry
You must also set these User Preference Definitions:
If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.
Creating a Statistical Journal Entry
Navigation: NavBar > Navigator > General Ledger > Journals > Journal Entry > Create/Update Journal Entries
- The Create/Update Journal Entries search page displays.
- Select the Add a New Value tab.
- Enter Business Unit.
- Enter Journal Date.
- Select Add.
- The Header tab displays.
- Enter Long Description.
- Enter Ledger Group.
- Enter Source.
- Select the Lines tab.
- The Lines tab displays.
- Select the Template List link.
- The Journal Entry Template List window displays.
- When you create a statistical entry using a statistical account, make sure you use a journal entry template that includes the Stat Amt field.
- Select OK.
- The Journal Entry Template List window disappears.
- Enter ChartFields.
- Enter Stat Amt.
- Enter UOM.
- Select the Insert LInes [+] icon.
- The new line displays.
- Enter ChartFields.
- Enter Stat Amt.
- Enter UOM.
- Enter Process = "Edit Journal".
- Select Process.
- The Journal ID is assigned.
- Select Process List = "Submit Journal".
- Select Process.
You must have at least one of these local college managed security roles:
- ZD General Ledger Inquiry
- ZZ GL Local Configuration
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
- After the journal has been approved, review it:
Navigation: NavBar > Navigator > General Ledger > Review Financial Information > Journals
- The Journals search page displays.
- Select the Add a New Value tab.
- Enter Inquiry Name.
- Select Add.
- The Journal Inquiry page displays.
- Enter Unit.
- Enter Ledger.
- Enter Year.
- Enter From Period.
- Enter To Period.
- Enter additional Journal Criteria to identify your journal.
- Select Search.
- The Journals section of the page populates.
- Select your Journal ID.
- The Journal Inquiry Details page displays. Review it.
- Process complete.
