9.2 Creating a Statistical Journal Entry

Purpose:  Use this document as a reference to create a statistical journal entry in ctcLink.

Audience:  Finance and Business Office staff

You must have at least one of these local college managed security roles:

  • ZZ GL Journal Entry

You must also set these User Preference Definitions:

If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.

Creating a Statistical Journal Entry

Navigation:  NavBar > Navigator > General Ledger > Journals > Journal Entry > Create/Update Journal Entries 

  1. The Create/Update Journal Entries search page displays.
  2. Select the Add a New Value tab.
  3. Enter Business Unit.
  4. Enter Journal Date.
  5. Select Add.

  1. The Header tab displays.
  2. Enter Long Description.
  3. Enter Ledger Group.
  4. Enter Source.
  5. Select the Lines tab.

  1. The Lines tab displays.
  2. Select the Template List link.

  1. The Journal Entry Template List window displays.
  2. When you create a statistical entry using a statistical account, make sure you use a journal entry template that includes the Stat Amt field.
  3. Select OK.

  1. The Journal Entry Template List window disappears.
  2. Enter ChartFields.
  3. Enter Stat Amt.
  4. Enter UOM.
  5. Select the Insert LInes [+] icon.

  1. The new line displays.
  2. Enter ChartFields.
  3. Enter Stat Amt.
  4. Enter UOM.
  5. Enter Process = "Edit Journal".
  6. Select Process.

  1. The Journal ID is assigned.
  2. Select Process List = "Submit Journal".
  3. Select Process.

You must have at least one of these local college managed security roles:

  • ZD General Ledger Inquiry
  • ZZ GL Local Configuration

  1. After the journal has been approved, review it:

Navigation:  NavBar > Navigator > General Ledger > Review Financial Information > Journals

  1. The Journals search page displays.
  2. Select the Add a New Value tab.
  3. Enter Inquiry Name.
  4. Select Add.

  1. The Journal Inquiry page displays.
  2. Enter Unit.
  3. Enter Ledger.
  4. Enter Year.
  5. Enter From Period.
  6. Enter To Period.
  7. Enter additional Journal Criteria to identify your journal.
  8. Select Search.

  1. The Journals section of the page populates.
  2. Select your Journal ID.

  1. The Journal Inquiry Details page displays.  Review it.
