Logically Delete a Journal
Purpose: Use this as a reference document to learn how to logically delete a journal in ctcLink.
Audience: Accounting Supervisors and Managers.
You must have at least one of these local college managed security roles:
- ZZ GL Journal Entry
You must also set these User Preference Definitions:
If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.
A deletion of a journal is only performed when a journal has not been posted.
Deleting a subsystem journal is not a normal process and advise working with SBCTC Accounting staff before deleting ANY Subsystem Journals.
Logically Delete a Journal
Navigation: General Ledger > Journals > Journal Entry > Create/Update Journal Entries
- The Create/Update Journal Entries search page displays. Select the Find an Existing Value tab.
- Enter the Business Unit.
- Enter the Journal ID or other search criteria.
- Select the Search button.
- The Create/Update Journal Entries page displays.
- Select the Lines tab.
- From the Process drop-down menu field, select Delete Journal list item.
- Select the Process button.
Only journals not posted are eligible to be logically deleted.
- A confirmation message displays. Select the Yes button.
- A new confirmation message displays confirming that the journal will be removed. Select the OK button.
- The message that the journal is logically deleted displays. Note that the Journal still visible in the system and the status is D = Deleted and Budget Status is N = Null.
- Process complete.
