Viewing & Correcting Journal Entry Errors

Purpose: Use this document as a reference for viewing and correcting journal entry errors in ctcLink.

Audience: Accounting staff.

You must have at least one of these local college managed security roles:

  • ZZ GL Journal Entry

You must also set these User Preference Definitions:

When you run the journal edit process, journal information is checked and errors may be found.  A summary of these errors in the journal is then available for viewing.  In this QRG, you will view these journal entry errors and the nature of those errors on the Journal Header and Journal Lines pages.

Part of your daily routine may be to post journals at the end of the day.  However, before you post these journals, you must first check for errors and correct them.  This process identifies those errors and provides information about where the error is, enabling further troubleshooting to correct it.

From the Lines tab, you can view journal entry errors by selecting multiple links:

  1. For larger journals, mark the Errors Only checkbox to view all the lines marked in error.
  2. Select the Line(s) marked with an 'X' to navigate to the Errors tab page.
  3. Select the Errors tab to navigate to the Errors tab page.

Viewing Journal Entry Errors

Navigation: Menu > General Ledger > Journals > Journal Entry > Create/Update Journal Entries

  1. The Create/Update Journal Entries search page displays.  Select the Find an Existing Value tab.
  2. Select the Clear button.
  3. Select the Business Unit field.  Enter the desired information into the Business Unit field.
  4. Select the Journal Header Status list.  Select the Journal Has Errors option.
  5. Select the Search button. 
  6. The results of your search will be appended to the bottom the Create/Update Journal Entries page. Select any field in a row to access the Header page. If there is only one journal in error, the search takes you directly to the header page of the journal in error.

  1. The Create/Update Journal Entries page displays.  Select the Errors tab.

Use the Errors page to view the Header and Line error messages and determine the nature of those errors.  The line errors on this page show the fields in error, as well as message sets that contain the error message, message number, and message text.

Header errors are displayed in the Header Error grid.  Select a number in the Line # column to navigate to the Journal Line page line entries in error.

Correcting Journal Entry Errors

Navigation: Menu > General Ledger > Journals > Journal Entry > Create/Update Journal Entries

1. After locating your Journal in error, select the Lines tab to view lines in error. Select the Error tab.

  1. On the Errors tab, you can review the Message Text information for both Header Errors and Line Errors. Let's briefly explain the Header and Line errors:
    • The Header Errors section provides error information such as Journal is not balanced (Debits do not equal Credits) and also notes the Journal Line errors exist.
    • The Line Errors section provides the line numbers in error and the message text provides the error details.
  2. Select the Lines tab.

  1. Back to the Lines tab and make necessary corrections. The following example corrects the Amounts which will clear one of the Header Errors to make sure the Debits = Credits.

  1. Use the scroll bar to scroll to the right of the Lines in error and add/update the required field values, i.e. Class and State Purpose. This will clear out the Combo Edit rules error.

NOTE: For valid Grant/Project-related ChartStrings require an active budget and requires a PC Business Unit, Project ID, Activity ID, and Analysis Type. Please see QRG Correcting Grant/Project Accounting Entries in General Ledger.

  1. Select the Save button to save changes. Next re-check your Journal Entry for errors by running the Edit Journal process by selecting the Process button.

  1. Make sure your Journal Status and Budget Status is Valid-Valid. Next step is to Submit your Journal for Approval. Use the Process drop-down action menu to select Submit Journal.
  2. Select the Process button.
