Saving Journal Search Results

Purpose:  Use this document as a reference how to save (or delete) multiple Journal search criteria results in ctcLink.  

Audience:  Finance/General Ledger Staff/Supervisors

You must have at least one of these local college managed security roles:

  • ZZ GL Journal Entry

You must also set these User Preference Definitions:

If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.

To save time running multiple Journal searches from this page, you can save your Search Criteria. Easy to delete a Saved Search as well.

Saving Journal Search Results

Navigation: General Ledger > Journals > Journal Entry > Create/Update Journal Entries

  1. The Create/Update Journal Entries search page displays. Select the Find an Existing Value tab.
  2. Enter the search criteria you want to save.  There are quite a few variables to create customized searches that you may need to repeatedly run.
    • Enter Business Unit "WA000".
    • Select "Journal Has Errors in the Journal Header Status field.
  3. Select the Save Search Criteria link to save the criteria you have entered.

  1. The Save Search As page displays.  Enter a Name of Search for the saved criteria.  
  2. Select the Save button.
  3. The Create/Update Journal Entries page displays confirming your saved search. Select the Return to Advanced Search link to return to the Create/Update Journal Entries search page.

To verify your search is saved, return to Create/Update Journal Entries page.  You will see your saved search name in the Use Saved Search: field and, after you select Search, the Search Results at the bottom of the page.

You may have as many saved searches as you need, and may edit and re-save them at any time.

Deleting Saved Searches
  1. From the Create/Update Journal Entries page, select the Find an Existing Value tab.
  2. Select the Delete Saved Search link.
  3. The Delete Saved Searches page displays. Select the search(es) you would like to delete and select the Delete button. Tip: Hold the control key down to be able to select multiple searches.
  4. Select the Return to Advanced Search to return to the Create/Update Journal Entries page.
