Assign and Maintain Enrollment Appointments for Individual Students

Purpose: Use this document as a reference for assigning and maintaining appointments for individual students in ctcLink.

Audience: Student Records staff

You must have at least one of these local college managed security roles:

  • ZD SR Student Appoint Inquiry
  • ZD SR Super User
  • ZZ SR Enroll Term Processing
  • ZZ SR Student Appoint Only
  • ZZ SR Student Appointment

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Records and Enrollment > Term Processing > Appointments > Student Enrollment Appointment

Search for a Student

  1. The Student Enrollment Appointment search page displays.
  2. Enter search criteria to locate the student.
  3. Select Search. 📝 Note: Only Term Activated terms are available.

Enter Session Information

  1. The Student Enrollment Appointment page displays.
  2. Enter or look up (🔍) the appropriate Session.
  3. The Session field allows session-specific enrollment limits to be updated for an individual student.
  4. If the correct session is not listed:
    • Select the Add a New Row [+] icon.
    • Enter the intended Session. ⚠️Important: Do not select the Only Use Term Limits checkbox.

Locate an Enrollment Appointment

  1. Enter the Appt Block / Appt Nbr, or select Find Appointment to search for available appointments.
    • Alternative method: Enter search parameters and select Fetch Appointments to view available appointment times.
  2. The Search for an Appointment page displays.
  3. Select Fetch Appointments.
  4. Available appointments appear in the Enrollment Appointments list at the bottom of the page.
  5. Select Select Appointment for the appropriate appointment.

Apply Appointment Limits

  1. The Student Enrollment Appointment page refreshes and displays the selected appointment details.
  2. In Select Limits for Appointment, choose Use Program Term/Session Limit.
  3. Alternative option: If selecting Use Limit ID, ensure the Appointment Limit IDs were configured on the Appointment Limits Table page (Records and Enrollment > Term Processing > Appointments > Appointment Limits Table).
  4. Select Save.
  5. Process complete.
