Delete Enrollment Appointments

Purpose: Use this document as a reference for deleting enrollment appointments in batch in ctcLink.

Audience: Student Records staff.

You must have at least one of these local college managed security roles:

  • ZD SR Student Appoint Inquiry
  • ZZ SR Enroll Term Processing
  • ZZ SR Student Appointment

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

⚠️Because the Process Mode field is on level one, deleting appointments removes all appointment rows associated with the run control. To delete only one student appointment block, create a separate run control specifically for that request.

Records and Enrollment > Term Processing > Appointments > Assign Appointments

Create or Select a Run Control

  1. The Assign Appointments Run Control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button.
  3. Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to follow the same process naming convention, but unique to the step. Because of this, including your institution code and a brief process description in the Run Control ID is recommended--e.g., WA220_ASSIGN_APPTS.
  4. The Assign Appointments page displays.

Enter Appointment Parameters

  1. Enter the required fields:
    • Academic Institution – Institution code
    • Academic Career – Enter or look up UGRD
    • Term – Enter or select the term
  2. Set Process Mode to Delete Appointments to remove previously assigned appointments.
  3. Select the Session (for example, Regular Academic Session).
  4. Enter or look up the Student Appointment Block.
  5. Select Override Block Priorities if you need to override the priority defined during the original appointment assignment.
  6. Enter Priority Ranking (1–3) if applicable.
  7. Select Enrollment in Appointment Type.

Define Appointment Limits

Option 1 – Use Program Term/Session Limit

  1. Select Use Program Term/Session Limit if appointments were originally assigned using this option.
  2. Enter or look up the following:
    • Appointment Block
    • Appointment Number From (or select Find Appointment From and fetch the start date and time)
    • Appointment Number To (or select Find Appointment To and fetch the start date and time)

Option 2 – Use Appointment Limit ID

  1. Leave Use Program Term/Session Limit unchecked.
  2. Enter or look up the following:
    • Appointment Limit ID
    • Appointment Block
    • Appointment Number From
    • Appointment Number To
  3. 📝Note: Appointment Limit IDs are created on the Appointment Limits Table page:
    • Records and Enrollment > Term Processing > Appointments > Appointment Limits Table
    • Student Appointment Blocks are created on the Student Appointment Block page:
    • Records and Enrollment > Term Processing > Appointments > Student Appointment Block

Run the Process

  1. Select Run in the upper-right corner of the page.
  2. On the Process Scheduler Request page, select the process and select OK.
  3. Select the Process Monitor link.
  4. Select Refresh periodically until:
    • Run Status = Success
    • Distribution Status = Posted
  5. Process complete.
