Update the Expected Graduation Term

Purpose: Use this document as a reference for updating the expected graduation term field on a student's Program/Plan record in ctcLink.

Audience: Student Records staff.

You must have at least one of these local college-managed security roles:

  • ZC SR Student Program
  • ZD SR Student Program
  • ZZ SR Student Program
  • ZZ Student Program Limited

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

The expected graduation term is either added manually to the student's record, OR the expected graduation term can be updated when the student uses the
self-service Apply for Graduation.  The expected graduation term is sent to the National Student Clearinghouse for enrollment verification and should be estimated as close as possible based on the student's expected program completion.  

Update the Expected Graduation Term

Navigation: Records and Enrollment > Career and Program Information > Student Program/Plan

  1. On the Student Program/Plan search page, enter a student ID or look up a student by name.
  2. Select the Search button. Choose the student career number if multiple results are returned.
  3. The Student Program page displays.
  4. Select Include History at the bottom right of the page.
  5. Select the Add a New Row [+] button on the right side of the screen to insert a new effective dated row.
  6. The Effective Date will default to today's date; you can modify the date as needed. This date is not required to fall between terms.
  7. Select Program Action = DATA.
  8. Select Action Reason = EGT.
  9. Select Expected Grad Term as the estimated program completion term.
  10. Select Save.
  11. Process complete.
