Processing Transfer Course Credits - Manual
Purpose: Use this document as a reference for processing course transfer credits manually in ctcLink.
Audience: Credential Evaluators
You must have at least one of these local college-managed security roles:
- ZC SR Transfer Credit Eval
- ZD SR Transfer Credit Eval
- ZZ SR Transfer Credit Eval
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Overview
Use the Course Credits-Manual page to manually enter, calculate, and post transfer course credit to a student’s record. This process captures information about the source institution and incoming course, identifies the equivalent course at your college, and posts the accepted credit to the appropriate academic term.
Navigation
Records and Enrollment > Transfer Credit Evaluation > Course Credits - Manual
Add a New Course Credit Model
- The Course Credits-Manual search page displays.
- Select Add a New Value.
- Enter the student's ID.
- Enter the Academic Career.
- Enter the Academic Institution.
- Select Add.
Enter Transfer Course Information
- The Transfer Course Entry tab displays.
- In the Transfer Credit Model section:
- Verify the Model Nbr. The number automatically increments by one for each new Transfer Credit Model.
- Enter the Transcript Level.
- In the Target Information section,
- Enter or look up (🔍) the required Academic Program.
- Select Include in GPA, if applicable. When selected, the grade is included in the cumulative GPA, and the individual transferred courses display on the student's transcript, as demonstrated in the image below. If the checkbox is left unchecked, only a transfer credit summary displays on the transcript.
- In the Source Information section:
- Verify that the Credit Source Type is Manual. If you previously posted transfer credits, add a new row; the Credit Source Type defaults to Manual.
- Enter the Source Institution name.
- Enter or look up (🔍) the School Type.
- In the Transfer Credit Term section, enter or search for the Articulation Term for which the transfer credit applies. Please note that the student must be term activated in the articulation term for the credits to post. Please see the Term Activation QRG for more information on term activation.
- In the Incoming Course section, enter:
- Year
- Ext Term
- Subject
- Course Nbr
- Description
- Units Taken
- Grade Input
- In the Equivalent Course section:
- Select the Course ID from the college course catalog that is equivalent to the incoming course.
- Verify the Offer Nbr, Units Transferred, and Grade Scheme that populate.
- Enter the Official Grade.
- Enter a Repeat Code, based on the college's business process.
- Enter a Designation, if applicable, to assign a requirement designation to the course.
- The Include in FA WI Stats checkbox is selected by default for all accepted courses.
