Veterans Enrollment Certification

Purpose: This document serves as a reference for evaluating class enrollments for Federal and/or State benefit eligibility and guides viewing veterans' enrollment certification in ctcLink.

Audience: Veterans Coordinator.

You must have at least one of these local college-managed security roles:

  • ZD SR Super User
  • ZD SR Veterans
  • ZZ SR Veterans

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation

Access the Enrollment Certification search page by navigating through the PeopleSoft menu.
Navigation:  Records and Enrollment > Enrollment Reporting > Veterans Benefit Reporting > Enrollment Certification

Review and Update Enrollment Details
  1. Status: Choose the current enrollment status of the student (e.g., In Review, Reported).
  2. Federal Certification: Activate the drop-down menu and choose Yes or No.
  3. State Certification: Activate the drop-down menu and choose Yes or No.

Review Class and Unit Details

Select the Class Detail Tab:

  1. View details about the student's class activity during the term.
  2. If a class is dropped, the Drop Date field is populated.
  3. If the attendance roster is used, the Last Date Attended is calculated. You can override or manually enter the date.

Select the Unit Detail Tab:

  1. View details about residential, distance learning units, and remedial clock hours and units, if applicable.
  2. If the class is Remedial, and the indicator is set to Yes, then the Remedial Units field is populated.
  3. If applicable, enter the number of clock hours per week for the student in the Clock Hrs/Week field.

Calculating Certified Units
  1. Review information about Federal Certified Units and State Certified Units.
  2. Based on the information entered in the Class Certification fields, the system calculates:
    1. The total of Federal-certified and State-certified units.
    2. Details of residential, distance learning, and remedial units.
    3. The total number of clock hours, if applicable, for Federal-certified classes.
  3. After verifying all information, click the Save button to record the certification.
  4. Process complete.
