9.2 Automate the Assignment of Running Start Student Groups

Purpose:  Use this document as a reference on how to automate assigning running start student groups.

Audience:  Student Records staff.

You must have at least one of these local college managed security roles:

  • ZC CS Student Groups
  • ZZ CS Student Groups

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Assign SRSL

Navigation:  NavBar > Navigator > Records and Enrollment > Career and Program Information > Process Student Groups

The first term a student qualifies for SRSL, you must manually apply the SRSL group to the student.

  1. The Process Student Groups Run Control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.
  1. The Process Student Groups page displays. 
  2. Select Selection Tool = "PS Query."
  3. Select Query Name:  QCS_SR_EV_NO_RS_SG_LOW_INC.
  4. Select the Edit Prompts link and enters your institution and term.
  1. Enter or look up the Academic Institution.
  2. Enter or look up the Student Group: SRSL.
  3. Enter or look up Effective Date. It is best practice to enter the effective date before the first term to which it applies.
  4. Select Active from the Effective Status drop-down list. 
  5. Select the Run button.
  1. Follow the Manually Setting up Recurrences for Jobs QRG set up a scheduled recurring process based on your desired schedule. Consider when tuition calculates since you'll want to ensure everyone with an EV will have the group when tuition calculates daily and weekly.

Assign SRSR

Navigation:  NavBar > Navigator > Records and Enrollment > Career and Program Information > Process Student Groups

  3. Enter Run Control ID.
  4. Select Add

  3. Select Query Name:  QCS_SR_EV_NO_RS_SG.
  4. Select the Edit Prompts link and enter your institution and term.
Enter Query Prompts
  1. Enter or look up the Academic Institution.
  2. Enter or look up the Student Group: SRSR.
  3. Enter or look up Effective Date. It is best practice to enter the effective date before the first term to which it applies.
  4. Select Active from the Effective Status drop-down list. 
  5. Select the Run button.

Inactivate SRSL

Navigation: NavBar > Navigator > Records and Enrollment > Career and Program Information > Process Student Groups

  3. Enter Run Control ID.
  4. Select Add

  2. Select Selection Tool = "PS Query."
  3. Select Query Name:  QCS_SR_ADD_CORR_ROW.
Enter query prompts and Student Group Data
  1. Select the Edit Prompts link. Your institution, the EFFDT you used for Activating SRSL for the term, the EFFDT you will enter as the EFFDT for the Inactive row in the main part of the run control, Inactive for the status, SRSL for the student group, and Active for Existing Status.

  1. Enter or look up the Academic Institution.
  2. Enter or look up the Student Group: SRSL.
  3. Enter your institution, SRSL for the student group, the same EFFDT you put in for “Target Eff Date” and Inactive.  
After entering query prompts, enter Student Group Data
  1. Follow the Manually Setting up Recurrences for Jobs QRG set up a scheduled recurring process based on your desired schedule. Consider when tuition calculates since you'll want to make sure everyone with an EV will have the group when tuition calculates daily and weekly. Additionally, the Active row must be in place for the process to apply a corresponding Inactive row, so you will want to schedule this to run AFTER the active row job.

Inactivate SRSR

Navigation: NavBar > Navigator > Records and Enrollment > Career and Program Information > Process Student Groups

  1. The Process Student Groups Run Control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add

  2. Select Selection Tool = "PS Query."
  3. Select Query Name:  QCS_SR_ADD_CORR_ROW.
Enter student group data
