Graduation Tracking Batch
Purpose: Use this document as a reference to create and update graduation tracking data for a group of students.
Audience: Student Records staff.
You must have at least one of these local college managed security roles:
Graduation Tracking Batch:
- ZD SR Graduation Inquiry
- ZD SR Super User
- ZZ SR Graduation
Graduation Status Security:
- ZD Local Security Admin
- ZZ Local SACR Security Admin
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Navigation
Navigation: Records and Enrollment > Graduation > Graduation Tracking Batch
Create or Select a Run Control ID
- The Graduation Tracking Batch Run Control ID search page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button.
- Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to follow the same process naming convention, but unique to the step. Because of this, including your institution code and a brief process description in the Run Control ID is recommended--e.g., WA220_GRAD_TRACK_BATCH.
- Select the Find an Existing Value to enter an existing Graduation Tracking Batch Run Control ID.
- Select Search.
- The Graduation Tracking Batch page displays.
Define the Population
- Select the Academic Institution from the drop-down menu.
- Select the Academic Career from the drop-down menu.
- In the Population Selection section:
- In the Selection Tool, select PS Query from the drop-down menu.
- Select the Lookup (🔍) icon and choose a query.
- Select Edit Prompts and enter the appropriate values for the selected query.
- Prompts vary depending on the query used.
- Select OK to close the Query Prompts window.
- Select Preview Selection Results to review the student population.
- Select Return to go back to the Graduation Tracking Batch page.
Set Graduation Tracking Options
- In the Graduation Tracking Options section, select a Graduation Review Status from the drop-down menu.
- After the batch runs, the selected status will appear on the student’s Graduation Tracking page. 📝Note: Users must have Graduation Status Security to apply status updates.
- Enter the Status Date.
- The date will appear in Status History on the Graduation Tracking page.
Add Graduation Review Notes (Optional)
- In the Graduation Review Notes section, select the Lookup (magnifying glass) icon and choose a Graduation Note.
- Graduation Notes help track a student’s graduation progress.
- Notes are configured in the Graduation Notes Table and require the role ZZ SACR Student Rec Config.
- Enter additional details in the Note text field if needed.
- To add additional notes, select the [+] plus icon.
Run the Batch Process
- Select Run in the upper-right corner of the page.
- On the Process Scheduler Request page:
- Ensure the Graduation Tracking Batch checkbox is selected.
- Select OK.
- Select Process Monitor.
- On the Process Monitor page, confirm the process completed successfully.
