Create and Update the Enrollment Appointment Table

Purpose: Use this document as a reference for how to create and update the enrollment appointment table in ctcLink.

Audience: Student Records staff

You must have at least one of these local college-managed security roles:

  • ZD SR Student Appoint Inquiry
  • ZZ SR Enroll Term Processing
  • ZZ SR Student Appointment

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

The Appointment Table must be created for each term where enrollment appointments will be assigned. Appointments are created for each session unless the Dynamic Dated Session and OEE session will use the same Appointments as the Regular Session.  If DYN and OEE will share appointments with the Regular Academic Session, set the  Appointment Control Session drop-down on the pages for those sessions to Regular Academic Session.

Creating and Updating the Enrollment Appointment Table

Navigation: Records and Enrollment > Term Processing > Appointments > Appointment Table

  1. Navigate to the Appointment Table page.
  2. Enter the appropriate Selection Criteria to locate your desired Appointment Table.
  3. Select Search.

Appointment Table Tab

  1. The Appointment Table tab displays.
  2. In the Appointment Control Session field:
    • Enter the session whose appointment settings this session should reference.
    • This field is typically left blank for the Regular Session.
    • For Dynamic Dated and OEE sessions (rows 2 and 3), set this field to Regular Academic Session from the drop-down list.
  3. In the Display in Self Service field, check the box if you want appointments to be visible to students in their Self-Service Student Center.

Enrollment Appointments Tab

  1. Select the Enrollment Appointments tab.
  2. The Enrollment Appointments tab displays.
  3. In the Appointment Block field, enter a code to identify the Appointment Block.
  4. In the Description field, enter a descriptive label for the Appointment Block.
  5. The Appt Nbr (Appointment Number) will default.
  6. Enter the following details for the appointment number:
    • Start Date
    • Start Time
    • End Date
    • End Time
    • Number of Students per Appointment
  7. To add additional appointment numbers to this block, in the Appointments section, select the Add a New Row [+] icon.
  8. To add additional appointment blocks for the session, in the Appointment Blocks section, select the Add a New Row [+] icon.
  9. Select Save.

Validation Appointments Tab

Validation appointments allow students to validate their enrollment prior to actual enrollment transactions. They function similarly to enrollment appointments.

  1. Select the Validation Appointments tab.
  2. The Validation Appointments tab displays.
  3. In the Appointment Block field, enter a code to identify the Appointment Block.
  4. In the Description field, enter a description for the Appointment Block.
  5. The Appt Nbr (Appointment Number) will default.
  6. Enter the following details for the appointment number:
    • Start Date
    • Start Time
    • End Date
    • End Time
    • Number of Students per Appointment
  7. To add additional appointment numbers to this block, in the Appointments section, select the Add a New Row [+] icon.
  8. To add additional appointment blocks for the session, in the Appointment Blocks section, select the Add a New Row [+] icon.
  9. Select Save.
  10. Process complete.
