9.2 Using the Graduation Report
Purpose: Use this document as a reference for using the graduation report in ctcLink.
Audience: Student Records staff.
You must have at least one of these local college managed security roles:
- ZD SR Graduation Inquiry
- ZD SR Super User
- ZZ SR Graduation
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Use this page to run a report of students in a specific graduation status.
Using the Graduation Report
Navigation: NavBar > Navigator > Records and Enrollment > Graduation > Graduation Report
- The Graduation Reporting run control ID search page displays.
- Select the Add a New Value tab.
- Enter Run Control ID.
- Select Add.
- The Graduation Report tab displays.
- Select Select Population.
- Enter Academic Institution.
- Enter Academic Career.
- Enter Degree Checkout Status.
- Enter Academic Program 1, 2, 3 (optional).
- Enter Expected Graduation Term (optional).
- Select Run. Refer to the Process Scheduling QRG for instructions.
- The Process Scheduler Request page displays.
- Select OK.
Note: It may take a minute for the process to run depending on how many students are selected, so if you do not get any students when you select fetch, wait a minute and try again. You can click the Process Monitor link to see the process status.
- The Process Scheduler Request page disappears.
- The Graduation Report tab displays.
- Select the Selection Results tab.
- The Selection Results tab displays.
- Select Fetch.
- A list of qualifying students displays.
- Individual students can be added to the results list by selecting Add Students.
- Individual students can be removed from the results list by selecting the Delete a Row [-] icon on the row for the student.
- Information for Degree GPA and Degree Honors codes can be added to the students on this page when ready to post the degrees.
- Select Save.
- Select the Graduation Report tab.
- The Graduation Report tab displays.
- At this time do not use this page for Updating Programs and Degrees or Creating Transcript Requests. See Graduation Processing QRG for details on using that page for updating graduating populations.
- Select Generate Report to, well, generate a report of your students.
- Select Run. Refer to the Process Scheduling QRG for instructions.
- After the process has achieved "Success" and "Posted" status, select Report Manager.
- The List tab displays.
- Select SR805-GraduationReport.pdf.
- The Report page displays.
- Select Graduation Report.pdf.
- The Graduation Report Results report displays in a new window.
- Close the new window after you've finished reviewing/printing/saving the report.
- Process complete.
