9.2 Using the Graduation Report

Purpose: Use this document as a reference for using the graduation report in ctcLink.

Audience: Student Records staff.

You must have at least one of these local college managed security roles:

  • ZD SR Graduation Inquiry
  • ZD SR Super User
  • ZZ SR Graduation

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  Records and Enrollment > Graduation > Graduation Report

  1. The Graduation Reporting run control ID search page displays. Select the Add a New Value tab.
  2. Enter Run Control ID. Select Add.
  3. The Graduation Report tab displays. Select Select Population.
  4. Enter Academic Institution. Enter Academic Career.
  5. Enter Degree Checkout Status.
  6. Enter Academic Program 1, 2, 3 (optional).
  7. Enter Expected Graduation Term (optional).
  8. Select Run.  Refer to the Process Scheduling QRG for instructions.
  9. The Process Scheduler Request page displays. Select OK.

Note: It may take a minute for the process to run depending on how many students are selected, so if you do not get any students when you select fetch, wait a minute and try again.  You can select the Process Monitor link to see the process status.

  1. The Process Scheduler Request page disappears.
  2. The Graduation Report tab displays. Select the Selection Results tab.
  3. The Selection Results tab displays. Select Fetch.
  4. A list of qualifying students displays. Individual students can be added to the results list by selecting Add Students.
  5. Individual students can be removed from the results list by selecting the Delete a Row [-] icon on the row for the student.
  6. Information for Degree GPA and Degree Honors codes can be added to the students on this page when ready to post the degrees.
  7. Select Save.
  8. Select the Graduation Report tab.
  9. The Graduation Report tab displays.
  10. At this time do not use this page for Updating Programs and Degrees or Creating Transcript Requests.  See Graduation Processing QRG for details on using that page for updating graduating populations.
  11. Select Generate Report to generate a report of your students.
  12. Select Run.  Refer to the Process Scheduling QRG for instructions.
  13. After the process has achieved "Success" and "Posted" status, select Report Manager link located at the top of the screen.
  14. The List tab displays. Select SR805-GraduationReport.pdf, located in the Reports section.
  15. The Report page displays. Select Graduation Report.pdf.
  16. The Graduation Report Results report displays in a new window.
  17. Close the new window after you've finished reviewing/printing/saving the report.

Process complete.
