Using the Graduation Report
Purpose: Use this document as a reference for using the graduation report in ctcLink.
Audience: Student Records staff.
You must have at least one of these local college managed security roles:
- ZD SR Graduation Inquiry
- ZD SR Super User
- ZZ SR Graduation
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Navigation
Records and Enrollment > Graduation > Graduation Report
Create or Select a Run Control ID
- The Graduation Report Run Control ID search page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button.
- Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to follow the same process naming convention, but unique to the step. Because of this, including your institution code and a brief process description in the Run Control ID is recommended--e.g., WA220_GRAD_REPORT.
- The Graduation Report page displays.
Define the Student Population
- Select Select Population.
- Enter the required search criteria:
- Academic Institution
- Academic Career
- Degree Checkout Status
- Optional filters may include:
- Academic Program 1, 2, 3
- Expected Graduation Term
- Select Run. ➡️Refer to the Process Scheduler/Process Monitor QRG for instructions on running processes.
Submit the Process and Fetch Results
- The Process Scheduler Request page displays.
- Select OK.
- After the process runs, return to the Graduation Report page.
- Select the Selection Results tab.
- Select Fetch to display the list of qualifying students.
- 📝 Note: Processing time may vary depending on the number of students selected. If no students appear when selecting Fetch, wait briefly and try again. You can also select Process Monitor to check the process status.
Adjust the Student List
- To add a student, select Add Students.
- To remove a student, select the Delete Row (-) icon next to the student record.
- When preparing to post degrees, staff may enter:
- Degree GPA
- Degree Honors codes
- Select Save.
Generate & Retrieve Graduation Report
- Select the Graduation Report tab. ⚠️Do not use this page to update programs or degrees or to create transcript requests. ➡️Refer to the Graduation Processing QRG for instructions on those processes.
- Clear the Student Population checkbox and select Generate Report.
- Select Run and submit the process.➡️Refer to the Process Scheduler/Process Monitor QRG for details.
- Once the process status shows Success and Posted, select Report Manager at the top of the page.
- On the List tab, locate and click on SR805–GraduationReport.pdf in the Reports section.
- Select Graduation Report.pdf.
- The Graduation Report Results open in a new window.
- Review, print, or save the report as needed.
- Close the window when finished.
- Process complete.
