Graduation Tracking

Purpose: Use this document as a reference to track a graduation candidate's progress and status history.

Audience: Student Records staff.

You must have at least one of these local-college managed security roles:

  • ZD SR Graduation Inquiry
  • ZD SR Super User
  • ZZ SR Graduation

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Graduation Tracking will not be available unless a Student Career Nbr has an Expected Graduation Term populated on an active Student Program/Plan stack. Additionally, college staff must have the appropriate Graduation Status Security (SACR) to access and update Graduation Tracking.

đź’ˇ Graduation Tracking Tips (click to expand)

From this page, you can track each career number when a student has applied for more than one certificate or degree.

Tip: Local query developers can design queries to identify:

  • Graduation Review Status
  • Graduation Notes
  • Honors

Entering graduation progress data allows staff to document degree and honors information without needing security to award degrees or honors.

  1. The Graduation Tracking search page displays.
  2. Enter Search Criteria to identify the student. Only results for your institution display.
  3. Select Search.
  4. If multiple records are returned, select the appropriate Student Career Nbr.
  5. 📝The sections displayed on the Graduation Tracking page are controlled by selections on the Academic Institution Table — Academic Institution (Tab 8).
    • The Graduation Review Status used during graduation application submission is the default value configured on this table.

  1. The Graduation Tracking section displays the following:
    1. Graduation Review Status: Shows the student’s current review status.
    2. Status Date: Date the Graduation Review Status was assigned.
    3. Last Modified On: Last date and time the status was updated.
    4. Updated By: EMPLID of the staff member who last updated the status.
    5. Select Update Graduation Status to choose a new Graduation Review Status.
    6. The status will update after you select Save in the lower-left corner.

The Graduation Review Status automatically populates only when a student applies for graduation through self-service and only if your institution has configured a default status on the Academic Institution Table (Tab 8).

If staff:

  • Manually record a graduation application.

or

  • Update the Expected Graduation Term for a recorded application.

Then the Graduation Review Status will be blank, and staff must manually select the appropriate status.

  1. Select View Status History to review:
    1. Date/Time Reviewed
    2. Degree
    3. Degree Description
    4. Previous Graduation Status
    5. New Graduation Status
    6. Previous Status Date
    7. New Status Date
    8. Updated By
  2. Select OK to return to Graduation Tracking.

  1. The Academic Plan information linked to the intended graduation is displayed here.
  2. Plan Sequence: Should be 10.
    • If a different number appears, run QCS_SR_MULTIPLE_PLANS_IN_STACK to verify that only one plan exists per program.
  3. Academic Plan: Displays the plan code (example: HMRHIBAS).
  4. Description: Displays the plan description (example: Health Information Mgmt BAS).
  5. Acad Plan Type: Major.
  6. Acad Subplan: Displays the plan specialization, if used.
  7. Degree: Displays the degree name (example: Bachelor of Applied Science).

  1. Academic Statistics display for the Expected Graduation Term.
  2. Select Show All Columns to expand all available fields.
  3. Columns Include:
    1. Term
    2. Acad Level Projected
    3. Taken for Progress
    4. Passed for Progress
    5. Taken Toward GPA
    6. Passed Toward GPA
    7. Taken Not Toward GPA
    8. Passed Not Toward GPA
    9. In Progress GPA
    10. In Progress Not for GPA
    11. Enrollment GPA
    12. Transfer Credit GPA
    13. Combined GPA
    14. Units Taken Toward GPA
    15. Total Transferred
    16. Total From Test Credits
    17. Total From Other Credit
  4. Select the Grid icon to download the Statistics table to Excel (optional).
Statistics Section

  1. View a student's enrollment using Limited View or Show All.
  2. Limited View:
    • Displays five rows of currently enrolled and/or completed classes.
  3. Show All:
    • Enables View All to display all enrollment rows.
    • You may also use the arrows to scroll through results.
  4. Select the Grid icon to download the Class Details table to Excel (optional).
  5. Additional Enrollment Details:
    • Class Information and Class Information 2 pages display details such as Class Nbr, Course ID, Official Grade, etc.
    • Select Show All Columns to expand columns.
    • Enrollment Status displays class enrollment status for each class.

  1. If a student has assigned milestones, only the rows with the greatest Effective Date display.
  2. Select the Grid icon to download the Milestones table to Excel. (Optional)

  1. Graduation Notes allow staff to track graduation progress.
  2. Setup Requirements:
  3. Using Graduation Notes:
    • Select a predefined Note.
    • Enter additional information in the Note text box.
    • Select Save in the lower-left corner..

  1. Use Honors to track a student’s progress toward graduation honors.
  2. Key Details:
    • Honor Codes come from the Degree Honors Table.
    • Honors added here do not appear on the Student Degrees page.
    • Select + to add additional rows.student's
    • Select Save in the lower-left corner.
  3. 📌Important: Adding Honors in Graduation Tracking does not award the honor. This section serves as informational tracking only.
