Deleting Journals in Mass
Purpose: Use this document as a reference for logically deleting multiple journals at once in ctcLink.
Audience: Finance, Financial Specialist/Supervisors
Deleting Journals in Mass
You must have at least one of these local college managed security roles:
- ZZ GL Mass Journal Delete
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Navigation: General Ledger > Journals > Process Journals > Delete Journals in Mass
The mass deletion of journals is a very powerful tool and should be limited to specific individuals who meet the college's criteria for their business processes.
- The Mass Delete Journals page displays. Enter Business Unit From.
- Enter required values:
- Business Unit From
- Business Unit To.
- Ledger Group.
- Fiscal Year.
- Optional to enter additional search criteria to refine search and identify the journals to delete.
- Select Search button and the Journals section populates with results below.
- Mark the checkbox or select the Journal(s) for deletion.
- Select the Delete button.
- A confirmation window displays.
- Select Yes to confirm to delete.
No results? Refine your search criteria and re-select the Search button. Use the scroll bar to view additional details. Use the Select All/Deselect All buttons as needed. Optional to select the column name to sort the results.
A warning message displays, 'Deleting the journal will remove it's associated commitment control entries. The delete will not check for any budget errors and can impact closed budget periods and balances.' If you still want to delete, select the OK button to proceed. You will receive a message the journal(s) are now 'Logically Deleted' and still searchable within ctcLink.
