Assign Work Schedule to a Group of Time Reporters
Purpose: Use this document as a reference for changing work schedule for a group of employees for summer within ctcLink.
Audience: Time & Labor Administrators, Core HR Administrators, Payroll Administrators.
You must have at least one of these local college managed security roles:
- ZC Admin Enroll Time Reporters
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Time & Labor Administrators should run query to verify the employee work schedules that need updating to the new summer schedule.
Run query QHC_TL_EMPL_WORK_SCHEDULE to identify which employee group needs schedule updated for summer schedule.
Use this process to update any employee schedule group as needed.
This process is used mainly for groups of employees not individuals.
Assigning Work Schedule to a Group of Time Reporters
Navigation: Time and Labor > Enroll Time Reporters > Assign Schedule to Group
- The Assign Schedule to Group run control search page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and click the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and click the Add button.
- NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Institution, Process).
- The Assign Schedule to Group page displays.
- Enter the Group to update.
- Enter the new Schedule ID being updated.
- Enter the Effective Date of update.
- NOTE: Effective Date should be the First Day of the week, either Sunday or Monday will work.
- Select the lookup icon to review the available Time Reporter Group or enter if known.
- Select the Save button.
- Select Run to activate the process request.
- The Process Scheduler Request page displays.
- Please refer to the Process Scheduler Request steps for further instructions.
- Back on the Assign Schedule to Group page, select the Report Manager link.
- Please refer to the Report Manager steps for further instructions.
- The Report Index page displays.
- Check that the Run Status is listed as Success to complete the run control process.
Validate Results
You must have at least one of these local college managed security roles:
- ZD TL Admin View Enrollment
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
You should ALWAYS VALIDATE your data at the end of this process.
Select a few individuals from the results list to validate in Time and Labor.
Navigation: Time and Labor > Enroll Time Reporters > Assign Work Schedule
- The Assign Work Schedule page displays.
- Enter an Empl ID from query results.
- Select the Search button.
- The Assign Work Schedule page displays.
- Select the Show Schedule link.
- The Schedule Calendar pagelet displays.
- Verify schedule matches the newly assigned work schedule to complete the process.
