SFRA 3Cs Communications

Purpose: Use the instructions below to understand how to use 3C's to send the "Steps for Financial Agreement" and the "Text agreed to SFRA" communications.

Audience: College Staff that will communicate to students regarding the SFRA.

You must have at least one of these local college managed security roles:

  • ZZ CC 3Cs User
  • ZC CC 3Cs User
  • ZD CC 3Cs User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must also set these SACR Security permissions:

Running 3C Engine

Navigation: Campus Community > Communications > 3C Engine > Run 3C Engine

  1. The 3C Engine Run Control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and click the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and click the Add button.
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Institution, Process).
  3. Select the 3C Engine Parameters tab:
    1. Process 3Cs: select Population Selection checkbox.
    2. Process Joint Records: select No Joint Processing radio button.
    3. Event Selection:
      1. Academic Institution: Enter your college code.
      2. Administrative Function: Enter GEN (General).
      3. Event ID:
        1. Enter B_GBL_BLF (Steps for Financial Agreement).
        2. Enter B_GBL_C2F (Copy of Text Agreed to SFRA).
          NOTE: The Communication Key should auto populate, for this 3C process we are not using Checklists or Comments.
    4. Population Selection:
      1. Selection Tools: PS Query.
      2. Enter Query Name: Enter QCS_SF_PS_3C_BY_SI_ASSIGNED.
      3. Select Edit Prompts:
        1. Institution: Enter you college code.
        2. Service IND Cd: Enter SFA.
        3. Assigned SI within # of days: Enter the number of days you’d like to include in the process. If this is set to run daily, we recommend using “1” to capture current data. If this is your first time running the process and the SFA SI has been assigned for multiple days already, consider entering a higher number to ensure all relevant days are included in the results.
  4. Select the Manage Duplicate Assignment tab:
    1. Unselect Check Duplicate Communication.
      Please Note: When running the C%F ( Copy of Text Agreed to SFRA) communication you will want to select manage duplicate assignment with variable data set to Match.
  5. Select Run button.
  6. Select the OK button on the Process Scheduler Request page to return to the Run 3C Engine page.
  7. Select the Process Monitor link. The process may take time based on the number of records being processed.
  8. Select Return to Run 3C Engine link.
  9. Process complete.

Useful Query

CTC_COMMUNICATION_LIST_BY_DATE can be run prior to starting the Communication Generation process to view how many communications were assigned.

Running Communication Generation

Navigation: Campus Community > Communications > Communication Generation

  1. The Communication Generation Run Control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and click the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and click the Add button.
  3. NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Institution, Process).
  4. Select the Selection Parameters tab:
    1. ID Selection: Select Population Selection.
    2. Population Selection:
      1. Selection Tool: Select PS Query.
      2. Query Name: Enter CTC_SF_PS_COMGEN_LIMIT.
    3. Select Edit Prompts:
      1. Institution: Enter your college code.
      2. Limit Results to: Based on the number of letters being generated, recommended using 1000 if that fits your need, if you are generating more recommended is 5000.
      3. Letter Code: Enter your college specific code
        • B%F for Steps for Financial Agreement
        • C%F for Copy of Text Agreed to SFRA
      4. *Com Assigned From: Enter the start date that communications were assigned.
      5. *Com Assigned To: Enter the last date you want to capture communications that have been assigned.
    4. In the Letter Code Selection section, enter your college specific letter code (B%F) in the Letter Code box.
    5. Ensure the Use Default Template is selected under No Matching Template Found.
    6. Ensure the Specified is selected under the Communication Language Usage.
    7. Ensure Specified is selected  under the Communication Method Usage..
      1. Select E-Mail in the Method drop-down.
  5. Select the Process Parameters tab:
    1. Person Communication Usage:
      1. Address: Select SF Email Campus,Home, Business.
      2. Address Name: Select Full Name-Pri,Prf,Leg.
      3. Salutation: Select Full Name-Pri,Prf,Leg.
      4. Extra Name: Select Full Name-Pri,Prf,Leg.
    2. Org Communication Usage:
      1. Org Recipient: Select All Cntc, All Dept, All Loc.
      2. Contact Name: Select Full Name-Pri,Prf,Leg.
    3. Missing Critical Data:
      1. Unselect Produce Communication.
      2. Unselect Complete Communication.
    4. Communication Date Range Selection:
      1. From Date: Enter the start date that communications were assigned.
      2. To Date: Enter the last date communications were assigned, if setting up on recurring schedule select a future date (e.g. 12/31/2100).
  6. Select Email Parameters Tab:
    1. Enter local college contact email information and subject line.
  7. Checklist Parameters Tab is not used in the this process.
  8. Select the Run button.
  9. Select the OK button on the Process Scheduler Request page to return to the Communication Generation page.
  10. Select the Process Monitor link. The process may take time based on the number of records being processed.
  11. Select Go back to Communication Generation link.
  12. Process complete.
