Copy a Journal - Batch Method

Navigation: General Ledger > Journals > Journal Entry > Copy Journals

  1.  The Copy Journals run control ID page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button.
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA140_COPY_JOURNALS (College, Process).
  3. The Copy Journals Request page displays. Scroll the page over to right and use the plus sign [+] to add additional Journal IDs to copy.
  4. For each line, enter or lookup the parameters for running the copy journal process:
    1. Use the drop-down button to select the Process Frequency = Always.
    2. Enter Business Unit.
    3. Enter a Date (within the current period).
    4. Lookup the journal entry to copy in the Journal ID field and the original Journal ID(s) Date(s) will auto-fill.

    6. Select the Recalculate Budget Date box.
    7. Select the Journal Incomplete Status box.
  5. Select the Run button.

The journal entry must be in Status ‘V’ (Valid) or ‘P’ (Posted) to use for the Copy Journal process.
