9.2 Copying a Proposal Version
Purpose: Use this document to copy a proposal version in ctcLink.
Audience: Finance/Grant Fiscal Staff.
You must have at least one of these local college managed security roles:
- ZZ Proposal Processing
You must also set these User Preference Definitions:
If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.
Copying a Proposal Version
Navigation: NavBar > Navigator > Grants > Proposal > Copy Proposal Version
- On the Copy Proposal Version search page, enter or select the Business Unit.
- Enter or select the proposal number in the Proposal ID field.
- Enter or select the version in the Version ID field.
- Select Search. The Copy Proposal Version page will display.

- On the Copy Proposal Version page, in the Header section, the To Proposal field remains the same but the To Version field has been populated with Next. Upon copying, the next sequential number will be assigned to the new Proposal Version.
- Also in the Header section, the target proposal defaults to the same date as the source proposal from which it is copied. Change the To Start Date on the target proposal, if necessary.
- The start and end dates in the Budget Period section also default to the dates from the source proposal. Change the To Start Date and End Start Date if necessary. NOTE: If the dates are not changed, a mirror copy of the source proposal will be produced. If the dates are changed during a copy process, all of the detail rows under each period will be assigned the dates that were entered for the period on the copy page.
- Use the From Project ID checkbox to (de)select the project(s) that you want to copy to the new proposal.
- Use the To Budget ID checkbox to (de)select the budget ID(s) that you want to copy to the new proposal.
- Select the Primary Project checkbox to indicate which project should be the primary project in the copied proposal.
NOTE: One Project on the Proposal must be marked as the Primary Project.
- Select the Copy button.

- The To Version field now indicates the copied Proposal Version exists.
- Select the Return to Search button. The Copying a Proposal search page will display.

- The Business Unit, Proposal ID and Version ID should be populated with information for the new version of the Proposal.
- Blank out the Version ID and select Search.
- The Search Results will indicate that you have multiple versions of the Proposal.

- Process complete.
