CC.004.3 Grade Lapse (Project Archive)

User Acceptance Test Overview

The Grade Lapse process is used to automatically revert Incomplete grades into failing grades. This process also updates the student's transcript, quarterly GPA, and cumulative GPA. Please note that converted enrollments are not configured to lapse, so this process cannot be used until after your college is live. However, you can follow the directions below to change existing grades for a sample set of students to ‘I’ grades in order to test this process in UAT.

The information below is intended to provide colleges guidance on performing a User Acceptance Test on this business process. The business process shown in the flow diagrams below may be only part of what is needed to complete an end-to-end test of a full business cycle. Coordination with other colleagues at your college in advance of commencing testing is key to success. In the same way that it doesn't take a single individual to operate the business of running a college it will require coordination across departments to successfully test a business flow from beginning to end.

Self-Paced Training Materials (Advanced Prep)

To prepare yourself in advance for the richest testing experience below are required Canvas Courses. Successful course completion is a prerequisite to participate in all UAT activities.

Background Configuration Information:

Grade Lapse deadlines are calculated based on the Academic Program Table (Main Menu > Set Up SACR > Foundation Tables > Academic Structure > Academic Program Table.

Colleges need to know what is configured for their grade lapse deadline and then run QCS_SR_INCOMPL_GRADES to identify students. For example, Highline's grade lapse rule is 365 days; therefore, they ran the query for Summer 2019 to identify students who should lapse when they ran the process and then check those students.

Minimum Test Case (Data) Scenarios:

  • Run QCS_SR_INCOMPL_GRADES to identify students (see Background Configuration Information above)
  • Run the transcript for a student (or set of students) listed in the datasheet
  • Run the batch Grade Lapse process for incomplete grades (see Background Configuration Information above)
  • Re-run the transcript for the student to verify that the incomplete grade was updated and that the student's quarterly and cumulative statistics were updated as expected
  • Error Condition: Run the batch Grade Lapse process for a date in the future.
    • Expected Behavior: No grades will be updated.
