9.2 Making Substitutions, Directives, and Overrides
Purpose: Use this document as a reference for making substitutions, directives and overrides in ctcLink.
Audience: All staff
You must have at least one of these local college managed security roles:
- ZC AA Advisement Exceptions
- ZD AA Advisement Exceptions
- ZD AA Super User
- ZZ AA Advisement Exceptions
You must also set these SACR Security permissions:
If you need assistance with the above security roles or SACR settings, please contact your local college supervisor or IT Admin to request role access.
Making Substitutions, Directives, and Overrides
Navigation: NavBar > Navigator > Academic Advisement > Student Advisement > Authorize Student Exceptions
- On the Authorize Student Exceptions search page, select the Add a New Value tab.
- Leave the default value in Advisement Override as a value will be assigned when the record is saved.
- Select Add.
- On the Authorize Student Exceptions page, enter a Description for this exception.
- Enter or look up the Academic Institution.
- Enter or look up the Academic Career.
- Enter or look up the Academic Program (optional).
- Enter or look up the Academic Plan (optional).
- Enter or look up the Academic Sub-Plan (optional)
Academic Program, Academic Plan, and Academic Sub-Plan fields are optional fields as long as long as the override is set at the career level.
- Use the Selection Code field to identify to whom or what the override should apply. Values include:
- Primary Academic Plan to apply the override to all of the students in the specified primary plan
- Academic Program to apply the override to all of the students in the specified program
- Student Group to apply the override to all of the students in the specified student group
- Student to apply the override to a specific student
- Enter the appropriate information into the Selection Data field; options available are dependent on the choice made in the Selection Code field.
- Select the Operation Code list and choose the desired value. Values include:
- Course Directive to override a specific course to satisfy a requirement
- Requirement Change to override and change to a specific requirement
- Requirement Override to override a specific requirement with a student individualized plan requirement
- Requirement Waiver to override and waive a specific existing requirement
- For any Operation Code other than Course Directive, the Level field appears so that you can enter the level at which you want the operation code to work. Values include:
- LN for line level
- RG for requirement group level
- RQ for the requirement level
- If the operation code is Requirement Change or Requirement Waiver, the available values are LN, RG, and RQ. If the operation code is Requirement Override, the available values are RG and RQ.
- If the Operation Code value is Course Directive, the Level field is not applicable. Course directives can be accomplished only at the requirement line level.
- Enter the appropriate information in the Level field if required.
- Select the Create Exception link.
- Enter the appropriate information on the Authorize Student Exceptions page. The fields displayed on this page are dependent upon the information from the previous page.
- Select the OK button. The main Authorize Student Exceptions page will display.
- When the exception is created, the system assigns an Advisement Override number. This number can be used to access this exception in the future.
- Select Save.
- To create a Course Directive, after you've selected the Operation Code, select the Create Exception link.
- Course Sequence and Directive Type default values should be retained.
- Course Source can be changed to filter search results.
- Select Search.
- Enter or look up the Subject Area.
- Select Search. The Course Selection page will display.
- Select Course ID by selecting the checkbox. The main Authorize Student Exceptions page will display.
- If all values are left blank, they will default to the values of the course selected.
- Select OK.
- Note that an Advisement Override number has been assigned to this exception.
- Select Save.
- Process complete.
