9.2 Assign Access to Advising Notes – Note Category Access

Purpose:  Assign access for advising notes in ctcLink.

Audience:  Campus Solutions Administrator.

You must have at least one of these local college managed security roles:

  • ZD SACR AA Config
  • ZD CS ADVISEMENT SETUP
  • ZD SACR Advisement Config
  • ZZ CS Advisement Setup
  • ZZ SACR Advisement Config

You must also set these SACR Security permissions:

If you need assistance with the above security roles or SACR settings, please contact your local college supervisor or IT Admin to request role access.

Assign Access for Advising Notes

Note Category Table

Navigation: Menu > Set up SACR > Product Related > Academic Advisement > Note Category Table

The Note Category Table search page displays.

  1. On the search page, enter the Academic Institution.
  2. Select the Search button.  The Search Results will display.
  3. From the Search Results section, select a Note Category.  The Note Category Table page will display.

  1. On the Note Category Table page, select the Access Control tab.
  2. Select a Type from the drop-down menu:
    • Role - If using role access, ensure only your college  specific role is assigned (example: ZZ Advising Notes - 010 (Peninsula  College)). The CS Support Team may also assign support team roles to  assist in troubleshooting tickets.
    • User - Add an employee's EMPLID.
    • Permission List - Use either Role or ID. Permission List refers to the primary Permission List on the User profile.   

Important: Permission List refers to the primary Permission List on the User profile.  It is recommended to use either Role or ID.

  1. On the Value field enter a corresponding Role or EMPLID, depending on your Type selection.
  2. Select the checkbox(s) applicable to desired access:
    1. View – Select to allow users to view notes created by themselves or assigned to them in this note category.
    2. Update – Select to allow users to view and update notes created by themselves or assigned to them in this note category.  
    3. Create – Select to allow users to create notes in this note category.
    4. View All – Select to allow users to view all notes created by any user in this note category.  
    5. Update All – Select to allow users to view and update all notes created by any user in this note category.
    6. Super User – Select to allow users to view and update all notes created by any user in this note category. A super user can also change categories, update Note Item text and delete notes in this note category.  
  3. Select the Save button.
Access Control tab
  1. The process to update the Access Control in the Note Category Table is now complete.

Note Category User Access

You must have at least one of these local college managed security roles:

  • ZD CS ADVISEMENT SETUP
  • ZD SACR Advisement Config
  • ZZ CS ADVISEMENT SETUP
  • ZZ SACR Advisement Config

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

To view and maintain a single user’s Note Category Access navigate to:

Navigation:  Menu > Set up SACR > Product Related > Academic Advisement > Note Category User Access

The Note Category User Access search page displays.  This page also displays any category access that the user inherited based on their roles and primary permission list.

  1. On the search page, select the Academic Institution.
  2. Enter the Empl ID.
  3. It is also possible to leave all fields blank for a list of all values.
  4. Select the Search button.  The Note Category User Access page will display.
  5. From the Note Category User Access page, use the [+] and [–] buttons to add or remove Note Categories.
  6. Modify the access levels by checking or unchecking the boxes.
  7. If a user has one Note Category assigned twice with different access levels (for example with their user ID and an advisor role), the user will receive the higher level of access.
  8. Select the Save button.
