Message Center - Delete Messages

Purpose:  Use this document as a reference for how to delete Message Center messages in ctcLink.

Audience:  Student Services staff.

You must have at least one of these local college-managed security roles:

Delete Messages:

  • ZZ HP Msg

Student Services Ctr (Student):

  • ZD CC Personal Info Student
  • ZD CC Personal Info Student
  • ZZ CC Pers Info NID Update
  • ZZ CC Personal Info Student

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must also set the following SACR Security permissions:

Delete Messages

Navigation: HighPoint > Message Center > Processes > Delete Threads

  1. The Delete Threads run control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
  3. NOTE: It is important to note that Run Control IDs cannot  be deleted. Do not include spaces in your Run Control. We encourage the  Run Control ID to have the same process naming convention but unique to  the step; because of this, including your institution code and a short  process description in the Run Control ID is recommended--e.g., WA220_DELETE_MSGS.
  4. The Delete Threads page displays.
  5. Search Filters: Identify as much of the message information as possible as described in sections below.   * fields are required. If message details are blank, it deletes ALL messages that meet the criteria. Use the Open Thread Inquiry button to view all messages that meet the criteria defined before deleting them. It is not possible to recover or view deleted messages.
    1. Institution: Select from drop-down.
    2. Department: Select from drop-down.
    3. Additional Search Options: All other fields are optional, users can search by read/unread status, student name, ID, etc. Note: Please enter the Subject precisely as it appears in the message.
  6. Thread Information: All fields in this section are optional:
    1. Status:
      1. Open status indicates that the student has sent a reply and the thread is pending a response.  
      2. Closed status allows users to view previously sent messages that did not allow students to respond or there is not a response needed.
    2. Created By: Input the ID of the person who sent the messages.
    3. Created On: Add date and time details as available.
  7. Student Information: All fields in this section are optional:
    1. Student ID
    2. First Name
    3. Last Name
  8. Letter Code Information: All fields in this section are optional and only used in connection with the Send Messages batch process.
    1. Function
    2. Category
    3. Context
    4. Letter
  9. Show Thread Count: To view the number of messages to be deleted, click this button.
  10. Open Thread Inquiry: View threads before they are deleted on the Thread Inquiry page by clicking this button. It is not possible to recover or view deleted messages.
  11. Report Only: If this box is selected, the process will only pull a report and not delete the threads. A message will appear when the checkbox is unchecked, asking, "Are you sure you want to turn off Report Only mode?" Select Yes, No, or Cancel.
  12. Select Run in the top-right corner of the page. Please refer to the Process Scheduling QRG for instructions.

Verify Student Messages

Navigation: Campus Community > Student Services Ctr (Student)

  1. When a student message has been deleted, it will no longer appear in the Student Services Center for that particular student.
