Viewing the WCG Eligibility Page

Purpose:  To view the WA College Grant eligibility page in ctcLink.

Audience:  Financial Aid staff.

This QRG will review the values listed on the WCG Eligibility page. The WCG Eligible Data tab allows users to view the data used to determine the student’s eligibility. In addition, users have the ability to alter all open fields contained on the page. To edits fields on this page, insert a new row to retain the history for the students WCG eligibility page.  

You must have at least one of these local college managed security roles:

  • ZD FA SNG Eligibility
  • ZZ FA WCG Eligibility

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Viewing the WCG Eligibility Page

Navigation:  Financial Aid > CTC Custom > CTC Interfaces > WA College Grant > WCG Eligibility View > WCG Elig and Archive Data

  1. The WCG Eligibility Data search page displays.
  2. Enter the ID.
  3. Enter the Academic Institution.
  4. Enter the Aid Year.
  5. Select the Search button.  
  6. The WCG Eligible Data tab displays.
  7. The WCG Eligible Data page contains all the data used to calculate the student's eligibility.  Notice that most of the fields are available to edit. Make sure to add a new row [+], if edits will be made to preserve existing history.
  8. The following is a review of each field and it's data source shown on the WCG Eligible Data tab.
    • WCG Income - For independent students if tax return status is “non-filer” the sum of the identifiable income from the ISIR.  If independent student filed a tax return then the AGI and identifiable income from the ISIR.  For dependent students if parent tax return status is “non-filer” the sum of the parent’s identifiable income from the ISIR.  If parent filed a tax return then the parent’s AGI and parent’s identifiable income from the ISIR.  
    • ISIR Family Size - For independent students, from the student’s HH size field on the ISIR. For dependent students, from the parent’s HH size field on the ISIR.
    • Number In College - For independent students, from the student’s Number in College field on the ISIR. For dependent students, from the parent’s Number in College field on the ISIR.
    • WCG Family Size - Increase the family size by one for every family member who will be in college beyond the first, excluding parents.
    • EFC Status - Pulled from ISIR.
    • Residency Date - For independent student residency date from ISIR.  For dependent student's parents residency date from ISIR.
    • Residency Prior - For independent student residency prior value from ISIR.  For dependent student's parents residency prior value from ISIR.
    • Have Need > 0 - Student Award Person table.
    • Bachelors Degree - “Will you have your first Bachelor’s Degree?” Question from ISIR.
    • Dependency - ISIR
    • Citizenship Status - Student FA Term - NSLDS_LOAN_YEAR.
    • Transaction Number - Current ISIR Transaction number
    • Current Grade Level - ISIR
    • NSLDS Grade Level - Student FA Term  NSLDS_LOAN_YEAR
    • Lock Eligibility Override
      • Default = Unchecked
      • Box is checked via manual selection or when WCG override process is run.
    • Eligible? - Populated during the Populate WCG Eligibility Fields process.
    • MFI Percent Calculation (displays only when Eligible? is ‘Yes’) - Reads MFI_Setup_tbl values for determination
    • WCG Award Amount (displays only when Eligible? is ‘Yes’) - Uses calculated MFI_Percent_Calc to look up eligible award amount in the WCG_Award_Amounts table. it deciphers between BAS and Non-BAS amounts.
    • Message - Populates with internal messaging based on eligibility values.

  1. Next, select the WCG Archive Data tab.
  2. The following is a review of each field and it's data source shown on the WCG Archive Data tab.
    • SSN -  Pulls from the Archive Data file
    • Last Name - Pulls from the Archive Data file  
    • First name - Pulls from the Archive Data file
    • In Repayment (Year) - Pulls from the Archive Data file.  Displays the year in which a student went into repayment on the WCG Program
    • Used WCG Quarters - Pulls from the Archive Data file.  Displays how many WCG have been used as of the most recent archive file update.
    • Remaining WCG Quarters - Pulls from the Archive Data file.  Displays how many WCG quarter of eligibility remain as of the most recent archive file update.
    • Next Eligibility AA Degree Year - NO LONGER USED.  Displays information on what year in which a student is eligible for WCG after being conferred with an Associate's degree.
    • Next Eligibility AA Degree Term - NO LONGER USED.  Displays information on what term in which  a student is eligible for WCG after being conferred with an Associate's degree.

What if a student isn't found in the WCG Eligibility Data page? How do we add that student?

Hi Tony, All students who are picked up in the Population Update process for WCG calculation should be then moved into the WCG Eligibility View page. Please retrace your process steps from the WCG Business Processing Guide to ensure those students are being picked up. Also consider how often you are running the process steps; consider things like, ISIRs being loaded from Suspense after you run the steps, etc. After doing a full evaluation on your process steps, if you find that some students have not been picked up, and you think that they should be, please file a ticket with FA Support.
