Bulk update process for existing Fixed Asset inventory

Purpose: This process supports large data set updates for existing fixed asset inventories, enabling the addition of newly required data as well as clean up of older data entries that don't align with current standards.

Audience: Operations and Facilities data management and administration teams.

Washington's Clean Buildings Performance Standard and Refrigerant Management Program have added new requirements for inventory data related to building systems and components. These requirements have stimulated a need to expand upon existing fixed asset data inventories in Megamation DirectLine, including either updates to or adding new data for existing entries.

This data includes details specific to Clean Buildings compliance processes for each building, along with installation dates, expected useful life, Uniformat coding, and other details for relevant building system components (see highlighted fields in the image below). Most databases also require cleanup of some historical data such as status codes and class names. 

Since manual updates of data records in DirectLine is onerous and time intensive, Megamation and the State Board have developed a process to enable and facilitate bulk updates of existing data, and a similar data collection and bulk upload process for new asset inventory data.

This process involves working with bulk data (either extracted or newly collected) within a spreadsheet template to identify and filter all required data fields and facilitate updating each relevant record. The finished update may then be uploaded in bulk to update the college's entire O&M inventory.

Existing Inventory Update Process

  1. Identify your internal team to manage the update process.
  2. Reach out to Scott Morgan at the State Board to get started.
    1. Megamation will run a current fixed asset inventory extract.
    2. That inventory will be mapped to the new inventory requirements and filtered to identify missing data.
  3. Scott will then work with the college team to clean up bite-sized chunks of the complete inventory until all records have been updated.
  4. The college team will review the final data collection spreadsheet then pass it on to Megamation for a bulk upload.

New Inventory Upload Process

  1. Get the Fixed Asset Data Upload template from the State Board Capital Budget Megamation page.
  2. Confirm/clarify all relevant data standards and protocols.
    1. Some are defined within the state program requirements, others by the State Board, and others by each college's internal practices.
    2. !! If you've contracted this work out, do not assume that your vendor will understand all relevant data standards!!
  3. Fill out the template with all new inventory entries.
  4. Submit the spreadsheet to Megamation for bulk upload.
    1. Megamation will perform a data quality check before performing the upload.
    2. Best practice is to take medium-sized bites, focused on a single category of assets, such as HVAC, DHW, Electric, Fire Safety, etc., and submit each large group as a single upload.
  5. Reach out to the State Board and/or Megamation support for guidance and help.
