Attach documents to Fixed Asset records or Work Orders
Purpose: Process to attach documents, such as equipment manuals, maintenance reports, or photos to relevant equipment or work order records in DirectLine.
Audience: Facilities operations and maintenance data management teams.
It is useful to attach some documents to fixed asset records or work orders tracked within DirectLine, particularly if the relevant information could be audited/requested by the Department of Commerce for Clean Buildings Performance Standard compliance or by the Department of Ecology for compliance with the Refrigerant Management Program. Such documents might include equipment manuals, maintenance guides, and commissioning, calibration, or maintenance reports. This process also works for images, such as a photo of name plates on newly installed equipment taken before they age and degrade.
The process is explained below and in this Megamation training video. Note that there is a file size restriction of 8 MB or less.
- Open the relevant fixed asset record or work order.
- Click the Paper Clip icon on the upper tool bar.
- Click on "Add"
- Follow the prompts to:
- Confirm where the file should reside
- Select the relevant file
- And finish the upload
- Confirm your internal processes to ensure that operations and maintenance staff know to access documents stored in DirectLine.
