Using Exam Creation in LYNX

Purpose: Use this document as a reference for building your exam rules and processing your exam schedule in 25Live using LYNX

Audience: Campus Solutions Academic Schedulers and Functional Administrators

  1. Before setting up your Exam rules/schedule, there are some settings to review.  To access the settings you want to go to More Menu > Configuration > Settings > Exam Creation Settings.

A couple settings are worth exploring.  The first one Exam Creation Mode is asking if you want the exam processed as an occurrence or if you want it imported as a separate (related) event.  I like the idea of importing as a separate event for a couple reasons. One is you can use a separate event type for the exams. You also have more flexibility with your searches when they are separate events or have their own event type. This flexibility in creating searches of your exam schedule will make it easier to run reports specific to exam schedules or if you want to embed the exam schedule on your web page.  The other important setting is the Location Assignment Options.  This determines if you want the exam schedule to assign the same location used for regular classes or find a new option. If you are a school that uses the Optimizer or want to be efficient with your exam schedule, you can choose the "No Location Assignment" option and let the Optimizer assign the exam locations.

  1. Log into the LYNX interface and navigate to the More menu > Utilities > Exam Creation.

The next step if build your exam extract set like you would with your term extract set.  You want to add your Title, Description, Term Code and Institution Code.  REMINDER: You want to make sure when you build your Term Extract Set that you add the exam days as date constraints so your regular class schedule for exam week is not imported into 25Live. You want to leave your exam week open for you exam scheduled you are building in LYNX.

  1. Once your Exam set is built, you want to go back and then select the new extract set and select the Exam Creation Rules tab.

  1. To add a rule you want to select Add New Rule. Below is a screenshot of the rule configuration.  Also included below is a screen shot of the rules set-up at a College for Fall 2024.

  1. When your exam rules are set-up you want go back to the Extract Set screen, select the exam set you want to import and then "Review and Process" the exam set. This will import your exam schedule into 25Live. 

    There are a couple things to keep in mind. If you have an active Term Extract set-up, the exam rules will automatically be live regardless if you have processed the exam extract set or not.  The exam schedule is linked to the term extract set so when updates come over from Campus Solutions, it will also send an update for both the class occurrences and the exam occurrence. This could a be simple headcount update or a meeting pattern update.  If you have built the exam set but are not ready to process it, you want to "inactivate" the exam set until you are ready for processing but also keep in mind that if you have Academic Priority turned on and process your exam schedule at a later date it could bump other events that have been added to 25Live.

  1. To inactivate the exam extract set (or term extract), select the exam set to open and you will see a slider setting the determines if the extract set is active or not and then save.
