Adding Organizations and Contacts

Purpose: Adding organizations and contacts to your 25Live database

Audience: 25Live administrators

1. It's important to make sure your organization and contact data is updated.  There may be new subject codes added to Campus Solutions that will need to be added to 25Live. In addition, if you are hosting external groups then you will want to make sure those groups are added to your 25Live instance as well as the contacts associated with those organizations.  This is critical if you intend to use the invoicing functionality.

2. The most efficient way to add organizations is to search for a similar organization type such as another subject code or a similar external group and COPY that organization. Copying allows you to inherit some important data elements such as the "Type" of organization and the "Category" as well as the default security settings. The Type of organization is tied to your pricing structure.  The Categories will be important for creating searches of your database.

3.  When you copy an organization you will just need to change the Organization Name and Formal Name.  The other data elements and security settings of the organization will be copied over.

4.  Once you add an organization then you also want to add a contact and link the two.  Go to the Search page and choose "Contacts" as your search object and select Create New Contact.

5.  When you have added the new contact, you will see section in the Details tab where you can associate the contact with an organization.  Select the organization and then also identify the contact as the "Billing Contact."  This linking process should be done for ALL EXTERNAL organizations for invoicing purposes.  It's not necessary to link a contact if you are just adding a new subject code.
